ORGANISATIONAL CONTEXT:

The World Food Programme (WFP), operating in India since 1963, aims to provide technical support to strengthening the government’s food safety-nets programmes in order to improve access to food for millions of vulnerable households throughout the country. Through its Country Strategic Plan (2023-2027), WFP India aims to support India in achieving their targets under Sustainable Development Goals 2 and 17. Management services provides a variety of support functions to the WFP India Country Office and field-based staff, including management of assets, office premises and other vital support functions.

JOB PURPOSE:

To support the delivery of quality, customer-focused, value for money management services that enable staff in WFP India to provide technical support and capacity strengthening to the government and other stakeholders, in line with WFP’s country strategic plan.

KEY ACCOUNTABILITIES (not all-inclusive, within delegated authority):

  1. Contribute to WFP country plan, including administrative processes, aligned with country and wider WFP strategies and policies to facilitate efficient and effective administration services.
  2. Support the development of annual plans and implementation of policies, systems and procedures to support WFP strategic objectives.
  3. Collate and prepare data analysis to provide management and clients with the accurate information and reports for efficient planning and decision-making
  4. Support management of existing resources in the area of responsibility (e.g. WFP managed facilities, assets, fleet; travel management, and protocol, etc.) and assist in identifying new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services.
  5. Facilitate the compliance of the services provided (e.g., WFP managed facilities, assets, fleet , protocol and travel management, etc.) with the corporate Occupational Safety and Health Policy.
  6. Support a culture of environmental sustainability throughout WFP by role modelling actions that drive sustainability in all administrative activities.
  7. Guide and supervise staff in the team, acting as a point of referral and supporting them with analysis and queries.
  8. Maintain the partnership with WFP stakeholders, other UN agencies and local government offices.
  9. Other as required.

DESIRED EXPERIENCES:

• Min. one or more years of post-graduate professional experience in administration; office management services including building maintenance, travel and fleet management.

• Has demonstrated a high level of proficiency in WFP administrative operating standards in day-to-day work.

• Has provided coaching or training to new staff members within area of expertise.

MINIMUM ACADEMIC QUALIFICATIONS:

Education: Advanced university degree in Business administration or related field. University degree in Business/Public Administration, or other relevant field relating to office management and administration with additional years of experience.

Language: Fluency in English and Hindi language.
