ORGANIZATIONAL CONTEXT

This position is located in Addis Ababa, Ethiopia. This Administration Officer position will provide oversight for the Travel functions both at the CO and all field locations. The incumbent will most likely be under the direct supervision of the Head of Management Services. At this level, work is carried out under minimal supervision.

JOB PURPOSE

An International Consultant familiar with WFP rules and procedures, particularly in protocol and travel needed to provide technical assistance to the CO

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Implement WFP country plans, including administrative processes, aligned with regional and wider WFP strategies and policies to facilitate efficient and effective administration services.
  2. Develop Travel annual plans, contributing to longer-term strategies and improvements to policies, systems, and procedures to ensure services provided support WFP strategic objectives and are in compliance with corporate policies, standards, regulations, and processes.
  3. Carry out complex data analysis to provide management and clients with accurate information and reports for efficient planning and decision-making.
  4. Manage the existing resources in the area of responsibility (travel management) and estimate new requirements aiming at efficiency, cost-effectiveness, and timeliness of operations and services.
  5. Facilitate the compliance of the services provided (travel management) and provide recommendations to the management on any improvements/changes.
  6. Ensure that internal controls are established and exercised in compliance with WFP Rules and Regulations.
  7. Manage and motivate a multicultural team(s), provide coaching, training, and guidance as required to ensure appropriate development and enable high performance.
  8. Build productive partnerships with WFP stakeholders, other UN agencies, and local government offices.
  9. Strengthen the capacity of WFP staff and partners through the delivery of trainings, workshops, daily interaction, etc. for efficient and effective delivery of food assistance to beneficiaries.
  10. Contribute to preparedness actions such as risk analysis, and contingency planning, monitoring the management of risks, and reporting on actions taken.
  11. Incorporate gender perspectives in areas of work, to ensure equal participation of women and men.
  12. Other as required.

STANDARD MINIMUM QUALIFICATIONS

Education: First University degree in Business Management /Public Administration, Economics, or any other related fields.

Experience: 3 or more years of progressively responsible work experience in Administration especially in WFP managing operational support services or similar and particularly in the areas of Travel and Protocol.

Knowledge & Skills:

• Excellent knowledge of travel procedures/policies and technical knowledge in travel applications. • Strong managerial skills and ability to lead, supervise and coach a team. • Ability to communicate clearly and concisely with multiple external and internal stakeholders. • Strong organizational skills and attention to detail • High standards of integrity, confidentiality and impartiality. • Drafting and proofreading skills. • Ability to multitask and work in a high-pressure environment.

Language: Fluency (level C) in the English language (written spoken, and oral comprehension).
