The WFP Regional Bureau for Eastern Africa (RBN) is based in Nairobi and provides strategic direction, technical guidance, resource mobilization, and management support to WFP operations and activities in ten countries: Burundi, Djibouti, Eritrea, Ethiopia, Kenya, Rwanda, Somalia, Sudan, South Sudan, and Uganda.

JOB PURPOSE

The Administration services are a core function within WFP, that supports the organization's goal to achieve Zero Hunger. Actions from Administration can have a direct financial, wellness, and safety effect on all staff within WFP.

The Regional Bureau has the responsibility to supply the administration services to all the staff in the office, and to give oversight to the 10 country offices under the RBN. What is required is to have a better understanding of the systems that the Administration staff need to use, what portals are available to get information, and what reports we will need to get on a monthly basis from the Country offices.

We are seeking to fill the position of Administration Intern based in the Administration Unit of the Regional Bureau for Eastern Africa.

STANDARD MINIMUM QUALIFICATIONS

  • Currently enrolled in the university and have completed at least two years of undergraduate studies; currently enrolled in a graduate programme (Master's degree) from a recognized university; or have graduated from an undergraduate or graduate programme within the last 6 months, preferably in Business Management, Business Analytics, Data Science, Applied Science or other related fields.
  • Currently enrolled in a graduate programme (Master’s degree) from a recognized university, undertaking the programmes mentioned above, and have attended classes in the past 12 months,
  • Fluent in English (both oral and written) is a must; knowledge of a second UN language, preferably French, would be an asset.
  • Training and/or experience utilizing computers including word processing, spreadsheet, and other software packages. Proficiency in Excel and fair knowledge of pivot tables. Office 365 proficiency an added advantage

KEY ACCOUNTABILITIES (not all-inclusive)

What you will do:

  1. Support in the development of a monthly administration analytics dashboard, which is to include required information for the RBN management, and for the administration unit to analyse how the COs are preforming and to identify areas where guidance and assistance may be required.
  2. Review and identify areas of improvement/ reporting within the protocol services.
  3. Perform an in-depth analysis to record the various systems, tools and technology available to analyse data and identify trends.
  4. Record reports and information required from HQ, with timelines.
  5. Record reports and information required from the COs, with timelines.
  6. Do an analysis of protocol services, to identify areas within protocol as an Admin function, that require improvement.
  7. Consolidate and report on administration activities to the management.
  8. Prepare COs monthly management reports for efficient planning and decision-making.

TRAINING AND LEARNING COMPONENTS

  • Interaction with the Admin team which will provide opportunities for sharing knowledge.
  • On the job training to be able to equip the intern with knowledge and skills they need to know about the job.
  • Regular feedback on work progress
  • Mentoring by the Section Head to enable them gain new perspectives and insights in relation to Admin Functions facilitating improved job performance.
  • Job rotation within the Admin Section, to help them acquire knowledge about the various Admin Functional lines for a better perspective.
  • Over the course of this assignment, the intern is expected to develop/refine his/her analytical, presentation and communication skills.

TERMS AND CONDITIONS

  • Interns receive a monthly stipend from WFP depending on the duty station of assignment (i.e. Nairobi).
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
  • The internship duration is 8 months, full-time.
