JOB PURPOSE

To coordinate and provide high quality, client-focused and value-for-money oriented administration services.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Coordination between WFP and the relevant stakeholders i.e., other UN agencies, government, cooperating partners, service providers etc.
  2. Verify resource requirements from the internal and external stakeholders in the area of WFP’s responsibility (i.e., facilities, accommodation, assets, fleet, IT, engineering, etc.), and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services
  3. Responsible for the provision of services such as management of facilities, accommodation, travel, protocol, and fleet-related, etc., reporting any discrepancies to the supervisor for consistent and timely delivery of services, to ensure the provision of a safe and comfortable working environment for WFP staff
  4. Support the production and compilation of various reports in order to facilitate accurate information for decision-making and to support the effective and timely management of WFP resources
  5. Contribute to planning, monitoring, and processing administrative actions related to procurement, finance, human resources, etc., including contracts with external vendors to ensure all data is accurately and timely recorded, processed in WFP corporate systems, and any operational issues addressed
  6. Adapt and update administrative processes, procedures, and performance plans, including SOP’s and also the application of WFP policies, rules, regulations, and guidelines. Coordinate the activities of staff from all the agencies, to ensure individual and team objectives are met in compliance with all relevant regulations, policies, procedures, and performance plans
  7. Address the concerns and queries of the internal and external stakeholders in relation to the administrative services in order to support the resolution of daily issues
  8. Provide training and guidance to staff in the interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clients.

STANDARD MINIMUM QUALIFICATIONS

Experience: At least 6 years of relevant experience in Administrative functions. Work experience in the development or humanitarian field is desirable.

Education: University degree in Administration, Human Resources Management, Public or Business Administration Management, or any other relevant field.

Languages: Fluency in both oral and written communication in English and Bangla dialects.
