What will you do in this position?

An Administration Associate will coordinate and provide high-quality, client-focused and value-for-money-oriented administration services.

The war in Ukraine has had drastic consequences, both for people inside the country and for those around the world dependent on its huge grain supplies. It has caused one of the fastest forced population movements since the Second World War. Close to 8 million Ukrainians are living as refugees across Europe, and another 5.3 million are internally displaced. Many are destitute, having lost their homes and livelihoods. As food production and supply lines are disrupted by fighting, many families in the east and south do not have reliable access to nutritious food.

WFP uses a flexible mix of food and cash assistance to support vulnerable Ukrainians wherever they are. This includes working with local partners to distribute food rations in areas near the frontline and providing cash transfers wherever people have access to banks and markets to buy food. Since March 2022, WFP has distributed food and cash assistance equivalent to 1.9 billion meals to families displaced and affected by the war, partnering directly with local responders.

How can you make a difference?

In this position you will have to:

1. Contacts with visitors and staff, arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes.

2. Compilation and preparation of briefing and presentation materials, speeches, background information and documentation for meetings and missions. Translation of simple correspondences, when needed.

3. Support to organization under Micro Purchase processes including preparation of RFQs , documents, receipt of quotations, bids or proposals, their preliminary evaluation.

4. Assist in selection and performance evaluation of suppliers.

5. Facilitate the compliance of the services provided (e.g. WFP travel management, transport management etc.), acting as the office Travel Focal Point, with the corporate Occupational Safety and Health Policy and contribute to the provision of recommendations to the management on improvements/changes.

6. Arrangements of travel and hotel reservations, preparation of travel authorizations, acting as the office Travel Focal Point, processing requests for, name cards and other documents.

7. Collection of information for administrative surveys, support to organization of common services.

8. Arrangement of vehicle transportation, regular vehicle maintenance and insurance.

9. Arrange, monitor and report on vehicle related matters including daily log, gas consumption, maintenance, insurance and vehicle history report.

10. Custodian for management of office stationery supplies including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution.

11. Maintenance of records on assets management, preparation of reports. Maintenance of files and records relevant to office maintenance

12. Maintain confidentiality and safe keeping of data related to the area of work.

13. Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to head of unit.

14. Follow standard emergency preparedness practices to ensure WFP is able to quickly respond and deploy food and needed resources to affected areas at the onset of the crisis.

15. Perform any other related activity as assigned by immediate supervisor.

To join us in saving lives, changing lives, you will have:

Education: Secondary education with special qualifications and training in administration, management or other relevant field relating to office and management. University level degree in a related field will be an asset.

Experience: Six or more years of progressively responsible work experience related to administrative tasks. A university degree may compensate for some years of experience.

Knowledge & Skills:

  • Proven theoretical and practical knowledge and understanding of national rules, regulations and policies in the area of administration
  • Has gained experience in administration and applies this to all activities.
  • Has managed small teams of staff with related areas of expertise.
  • Has provided support in leading projects and input into function policies.

Language: Fluency (level C) in both in English and Ukrainian languages.
