STANDARD MINIMUM QUALIFICATIONS

Education: Completion of University education in Business Administration, secretary, accounting or a certificate in the related functional area is desirable.

General Service (Field): Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.

ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs). The Job holder report to a Administrative Associate and overall supervision by the head of Admin unit.

At this level job holder is expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.

JOB PURPOSE

To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.

KEY ACCOUNTABILITIES (not all-inclusive)

Job contents:

  1. Manage WFP Fleet Wave Management system;
  2. Prepare monthly vehicle consumption report and update data;
  3. Follow up personal use of vehicle by WFP staff;
  4. Manage and update data through Archibus for WFP facilities; including commercial lease and in-kind donation from the Government;
  5. Monitor contract extension for vehicle insurance;
  6. Translate incoming/outgoing letters relating to administration matters;
  7. Perform other related duties, as required.
  8. Training and/or experience utilizing computers, including word processing, spreadsheet and other standard software packages and systems. General knowledge of UN system administrative policies, rules, regulations and procedures in the area of administration.
  9. Ability to review a variety of data, identify and adjust data discrepancies. Identify and resolve operational problems with substantial independence. Ability to obtain or give factual information of a non-routine nature involving interpretation of facts and requiring clarity of expression. Ability to perform detailed work, frequently of a confidential nature and/or to handle a large volume of work systematically, effectively and accurately. Ability to train other staff regarding relevant work responsibilities. Ability to work in a team environment and coordinate assignments to achieve common goals. Ability to deal patiently and tactfully with people of different national and cultural backgrounds.
  10. With initiative and judgment produces organized, accurate and well documented records with well analyzed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary. May assign work to staff in lower grades
  11. Fluency in both oral and written communication in English and Lao.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • At least 5 years of working experience in administration
  • Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work
  • Has supported in providing ad-hoc guidance to new staff members
