STANDARD MINIMUM QUALIFICATIONS

Education: Completion of University education in Business Administration, secretary, accounting or a certificate in the related functional area is desirable.

General Service (Field): Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.

ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs). The Job holders report to a Head of Unit, Chief, Administration Officer, or the designate.

At this level job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.

JOB PURPOSE

To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Manage and update inventory items and record all WFP inventory to the Asset Management Database (GEMS Mobile);
  2. Conduct yearly physical counts of inventory adn prepare yearly internal/external bids;
  3. Extract, input, review of accuracy adn file data from various sources;
  4. Monitor contract extension for vehicle insurance, security services and office rent;
  5. Translate incoming/outgoing letters relating to administration matters;
  6. Receive guests and arrange refreshment for meeting/training as required;
  7. Arrange transportation for staff as required;
  8. Create/Close Purchase Requests/Good Receipts Notes for Non-Food/Service in system and prepare Purchase Request; Purchase Order for joint UN agencies;
  9. Draft correspondence relating to the area of responsibility and manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
  10. Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
  11. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • At least 4 years of working expereince in administration
  • Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work
  • Has supported in providing ad-hoc guidance to new staff members
