Malawi is a small landlocked country in Southern Africa. With a population expanding rapidly at 3 percent per year and the majority of livelihoods dependent on agriculture, the population is highly vulnerable to the effects of climate-related disasters. Poverty is experienced by most rural families, with those headed by women suffering the most. Relying on small parcels of densely cultivated land for their livelihoods, rural Malawians are highly affected by climate change. Episodes of drought as well as severe flooding are increasing in frequency, intensity and unpredictability, giving the most vulnerable households inadequate time to recover.

Malawi’s challenges are also compounded by high rates of HIV infection (at 9.6 percent), low primary school completion rate (at 51 percent) and chronic under-nutrition (at 37 percent for children under 5). WFP continues to partner with the government, other UN agencies, NGOs, civil society and the private sector to achieve the Sustainable Development Goals (SDGs) by 2030, with a particular emphasis on reaching Zero Hunger (SDG 2), addressing structural drivers of hunger wherever possible.

BACKGROUND AND PURPOSE OF THE ASSIGNMENT

The Business Support Assistant will support the Project Coordinator in administration related functions in the operation of the Primary Care Clinic

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Support on COVID-19 reporting to RB and UN Malawi coordination process
  2. Data Entry of Agency Staff lists into the new Cority Electronic Patient Record.
    • Orientation for Cority
    • Eligibility List to be completed in coordination with agency Focal Points
  3. Support in the onboarding protocol for other UN agencies.
    • Connect with Focal points with support from Project Coordinator
    • Finalise the eligibility lists
    • Coordinate with other UN Agency focal points and fix schedule for onboarding them to PCC including making presentation
  4. Insurance Claim processing for expanded client list.
  5. Data processing of biostatistics from the Health promotion campaign.
    • The list of staff enrolled to be obtained and create a process of follow up
  6. Embedding the Humanitarian Hub system in our booking and using it for Insurance claims
    • Checking with Humanitarian Hub for bookings and updating PCC doctors regarding appointments daily
  7. Editing the WFP wellness app
    • Collect information regarding promotion campaign/organizing information/ health campaign etc., so that the same can be accessed by staff remotely
  8. Health Promotion programme support
    • Calendar of events to be planned regarding healthy promotion activities
  9. Clinic asset management in coordination with the RMU Admin team.
    • All assets to be recorded and tagged of PCC
    • Visit the warehouse and LLW physically to record the assets

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills:

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff

Language: Fluency in both written and spoken English

DELIVERABLES AT THE END OF THE PROJECT

  1. Efficient PCC operation and service provided to clients of the PCC;
  2. Effective capacity building of clinic operations in line with WFPs wellness strategy; and
  3. Support to Project Coordinator and PCC medical team.
