Job Description

Job Overview

The Volunteer Coordinator is responsible for managing the Community Sponsorship and Volunteer programs. The coordinator will collaborate with IRC staff to determine volunteer, intern, mentor, and AmeriCorps needs and provide the needed support to execute all volunteer and sponsorship programs, including developing trauma-informed training materials to best prepare all volunteers for their work with refugees, asylees and victims of human trafficking.

Major Responsibilities

Family Mentor Program Coordination

· Conduct outreach for the Family Mentor Program as needed. This includes meeting with individuals and community and faith-based organizations who are interested in supporting the mission of the IRC.

· Maintain strong referral relationships with all IRC staff. Develop family profiles based on referrals.

· Recruit, screen and match family mentors to support refugees and asylees.

· Update training materials for new mentors and resources to share with mentors as activities to do with their mentees (i.e., English for Speakers of Other Languages (ESOL) materials, employment preparation).

· Provide ongoing training and support to mentors and troubleshoot any issues that arise.

· Coordinate monthly group session with mentors and mentee clients, and 1-2 mentor appreciation events per year.

· Conduct exit interviews and surveys with program participants.

Volunteer Coordination

· Coordinate with staff to determine volunteer needs and assist with assignment description development.

· Conduct outreach activities to attract new volunteers; recruit and interview candidates.

· Conduct regular information sessions for potential volunteers, interns, and mentors.

· Conduct orientation sessions, training, and ongoing supervision for all accepted volunteers.

· Maintain regular communication and act as a liaison between IRC staff and volunteers.

· Maintain volunteer files; enter case notes and records in database; manage timesheets and timesheet entries each month.

· Coordinate Family Mentor Program: work with partners, volunteers, and staff to fill mentorship roles

· Solicit opportunities to speak publicly about the work of IRC and actively recruit community involvement.

· Actively participate in the Volunteer Coordination Communities of Practice.

· Conduct recognition events for volunteers and interns.

Internship Coordination

· Ensure the IRC maintains an active, effective, professionally managed intern and volunteer program.

· Liaise actively with program managers and other staff members on intern/volunteer opportunities for their respective programs. Ensure assignment descriptions align with staff and client needs and are consistently formatted and posted.

· Organize three recruitment cycles (fall, spring, summer) and manage office-wide application and interview process.

· Oversee onboarding and exit process for all interns. This includes processing background checks, setting up and closing IRC accounts, leading general orientation sessions, and managing other situations as needed.

· Maintain relationships with all universities in the area.

JVC and AmeriCorps VISTA Coordination

· Recruit JVC and VISTA members as needed, in collaboration with department supervisors.

· Maintain ongoing relationship with CNCS and manage grant activities.

· Coordinate with VISTA members and supervisors to prepare funder reports as required.

Outreach, Training and Other

· Represent IRC at local meetings, seminars, forums, and other community outreach opportunities as needed.

· Conduct outreach, networking activities, and other advertising to recruit and educate potential donors, interns, volunteers, and partners as needed.

· Assist in managing shared mailboxes, Facebook page, and other external-facing communication.

· Organize and lead info session webinars to provide an overview to potential volunteers of all current volunteer opportunities.

· Maintain individual files on all interns and volunteers, record and report all intern/volunteer time, and keep accurate electronic records. Coordinate with colleague(s) to ensure volunteer processing and documentation is tracked.

· Update and develop resources to manage intern and volunteer lifecycle.

· Supervise community engagement interns or other volunteers as needed.

· Other tasks and projects as assigned.

Job Requirements

Experience****:

· Minimum of 3 years of related experience.

· Bachelor’s degree from an accredited university/college preferred.

· Lived experience as an immigrant or refugee preferred.

Demonstrated Skills and Competencies

· Proven ability to contribute both independently and as a key team member.

· Proficient in Microsoft Office applications (Word, Excel, Outlook)

· Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.

· Ability to prioritize and to juggle multiple tasks simultaneously in a fast-paced environment.

· Well organized with attention to detail.

· Ability to work effectively in a multi-cultural setting.

· Self-direction and initiative, when needed, to take the lead and to follow through to completion.

Language Skills****: Fluent in English, both spoken and written. Second language preferred.

Working Environment:

· A combination of standard office environment and ‘field’ time in and around the service delivery area to perform the above outlined responsibilities.

· This position could start fully remote, however would need to transition to geographically in Boise in person, within a timeframe negotiated to agreement between a candidate and IRC Boise.

· Physical ability to safely lift and carry furniture and other household goods in support of furnishing new homes for IRC clients, to support team as needed.

· May require occasional weekend and/or evening work.
