Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

Part of the Strategic Partnerships Division (SPD), the Multi-Stakeholder Partnerships and Advisory Services (MPAS) Section leads UN Women’s engagement with the private sector, corporations, philanthropy, foundations, and individuals - both in terms of a substantive components and resource mobilization - and it drives a wide range of UN Women’s global initiatives: HeForShe, Women Entrepreneurship Accelerator (WEA), Women’s Empowerment Principles (WEPs) and Unstereotype Alliance (UA). It also leads the work with all UN Women National Committees, and on the development of the individual/digital giving as well as Advisory Services business line for private sector. MPAS’ main aims are to ensure that UN Women develops and sustains high quality and impact focused partnerships to achieve maximum results for gender equality and women’s empowerment.

Under direct supervision of the Chief of Multi-stakeholder Partnerships and Advisory Services Section, the Coordination Analyst will provide key support in internal, inter-agency and partner coordination as relevant to the overall work of MPAS, strategy development and work/resources planning will manage the efficient flow of information and communications across MPAS and from the Office of the Chief, ensure expeditious dissemination of information, timely delivery of MPAS assignments as relevant to work of the organization as well as a full compliance with all UN Women policies and procedures.

Duties and Responsibilities

Coordinate as required for strategic planning for the Multi-stakeholder Partnerships and Advisory Services Section (MPAS):

  • Coordinate development and monitor flow of delivery and implementation of relevant activities of the MPAS Section, including activities relevant to Generation Equality Forum (GEF) and Action Coalitions (ACs), development of the programme workplans, MPAS budget and MPAS Action Plan.
  • Coordinate and support the development and monitoring of MPAS Action Plan under Chief’s supervision in close collaboration with all MPAS, Resource Mobilization and Communications teams in SPD as well as all other relevant teams in UN Women including Regional and Country Offices.
  • Undertake research and analysis for specific areas and/or components of MPAS work and provide summary of information and budget related context for development of proposals and initiatives as relevant to the implementation of MPAS Biannual Work Plan.
  • Provide inputs and support to the development of section processes and products – including processes related to partnership development/management and fundraising initiatives
  • Follow up on required action/outstanding issues and report on outcome/ result.
  • Review and provide briefings to Chief on all relevant UN Women Strategic Notes.

Manage front office operations

  • Prepare required talking points and documentation for meetings (all external facing as well internal meetings including MPAS Management Team meetings, SPD DLT meetings, any HQ meetings, SMT, ELT and Executive Board).
  • Develop coordination templates, draft communication messages, coordinate development of briefings, talking points, Power Points and other materials as needed.
  • Provide inputs to the analysis and preliminary comments on proposals and other documents submitted for review and approval of the MPAS Chief. Follow up with concerned MPAS and any other UN Women teams/units for clarification and missing information if needed and necessary.
  • Verify the completeness of required documentation and/or clearances prior to submission to the Chief’s approval/signature; Follow-up on the submissions, clearances, and approvals of the items in the online clearance system; take proactive follow-up action as necessary.
  • Manage, review, update, prioritize, and route correspondence to and from the Chief regarding the online clearance requests.
  • Advise on the next steps and provide daily decision/ action/ information sheet to the Chief.

Provide effective communication and information management support to MPAS

  • Oversee and coordinate the flow of information and communication between the Chief’s office and other units within or outside of UN Women.
  • Respond to and/or direct inquiries to appropriate units for timely action/response.
  • Prepare routine correspondence.
  • Maintain and organize up to date electronic files for easy access and retrieval; ensure safekeeping of confidential materials.

Prepare internal and external reports on behalf of MPAS

  • Coordinate across the team collection of inputs for the regular reporting of MPAS to Senior Management, Executive Leadership and all other relevant internal and external stakeholders.
  • Coordinate and support preparations of the regular MPAS Annual Report to donors and partners as relevant.
  • Coordinate and support preparations for MPAS contribution to the Executive Director’s Annual Report (EDAR) to the Executive Board and all other relevant UN Women reports

Undertake other ad hoc duties and assignments at the request of the MPAS Chief.

  • Timely, efficient and quality support to Chief and MAPS Section by coordinating flow of information and providing overview of all activities across all MPAS Teams and overall deliverables;
  • Efficient, timely and quality support to delivery and implementation of MPAS Biannual Work Plan and budget;
  • Efficient delivery of task assigned as a focal point for MPAS for coordination of activities as relevant to UN Women key strategic initiatives (ie; GEF, ACs)
  • Submissions, clearances, and timely approvals of the items in the online clearance system;
  • High quality Talking points/Briefings as and when needed
  • Quality presentation of information
  • Timely coordination of inputs to reports

Required Skills and Experience

Education and certification:

  • Master's degree (or equivalent) in international development, public administration, public policy, or other relevant social science field is required
  • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Experience:

  • At least 2 years of progressively responsible experience working with programme coordination and supporting multi-component processes.
  • Experience of coordinating development, implementation, and monitoring of large budgets.
  • Experience in working in the fast-moving fundraising and high-level multi-stakeholder partnership building environment.
  • Experience working in gender equality and women’s rights at the international level.
  • Experience in the UN system is an asset.

Language Requirements:

  • Fluency in English is required
  • Knowledge of the other UN official working language is an asset.
