Background

The Division of Strategy, Planning, Resources and Effectiveness (SPRED), under the direct supervision of the Assistant Secretary General (ASG)/Deputy Executive Director Resource Management, Sustainability and Partnerships, drives the areas of corporate strategy, planning, resource allocation and management, enterprise risk management, organizational performance management and governance. These elements function to strengthen of the organization’s Second Line of Defense and Governance, Risk and Compliance efforts to support UN Women’s work towards achieving the goal of Gender Equality and Women’s Empowerment (GEWE) in line with the 2030 Agenda and the UN Women Strategic Plan.

The Business Management Analyst reports to the Director, SPRED. The Business Management Analyst will provide timely analytical information, as well as technical and substantive inputs, coordination and liaison support to the Director in the strategic management of the Division, as well as technical support on activities related to strengthening internal governance and organizational accountability. The person will have a proven ability to work and balance competing priorities under pressure and act with discretion in a sensitive and challenging environment.

Duties and Responsibilities

Provide coordination and liaison support to the Director in the strategic management of the Division:

  • Oversee the management of the Director’s agenda; evaluate and keep track of important events and meetings, and advise on priorities and critical meetings requiring his/ her presence; make necessary arrangements for the Director’s participation, including the preparation of background papers and talking points.
  • Provide technical and coordination support in the follow-up to meetings and corporate initiatives, including the preparation of relevant minutes and notes as appropriate, and management of a follow-up tool/file;
  • Liaise closely with in-house Divisions, sections and field offices as well as key partners and stakeholders on priorities, commitments and agreed deliverables.
  • Coordinate efforts to meet deadlines related to internal and external organizational reporting, including for intergovernmental bodies and interagency for a, ensuring the required quality standards are observed.

Provide technical and management support to the Director:

  • Provide substantive inputs on management issues as appropriate, to facilitate the Director’s decision making and representation with UN Women staff and external partners;
  • Identify, research, analyze, prepare and/or organize information and briefing materials for the Director to facilitate decision-making and leadership in management strategic planning/review;
  • Draft speeches, talking points, briefing notes, background papers, and/or design presentation materials (including multi-media) for delivery by the Director in key events, meetings and other external fora ensuring that UN Women thinking, goals, objectives, strategies and/or policies are appropriately reflected in these materials.

Provide coordination and technical support to the corporate activities to strengthen internal governance and accountability:

  • Lead the Business Review Committee (BRC) Secretariat for operational decision-making;
  • Prepare BRC meeting agenda in consultation with the Offices of the Co-Chairs;
  • Handle all preparatory and logistical arrangements for BRC meetings, including soliciting background documents, performing quality control reviews on background documents, drafting meeting minutes, and following up on action items;
  • Provide technical and substantive support to management on matters related to delegation of authority, internal control frameworks and accountability;
  • Serve as the primary focal point on corporate delegation of authority and internal control framework matters;
  • Provide technical and coordination support to end users with queries related to delegation of authority and internal control frameworks.

Coordinate UN Women’s interactions with the Joint Inspection Unit (JIU):

  • Coordinate the information collection, questionnaires, interviews, and related follow up between UN Women management and technical experts and the JIU Inspectors;
  • Review and analyze all inputs and perform the quality assurance function, highlighting any gaps or inconsistencies in information prior to transmitting to the JIU;
  • Coordinate and support technical leads in the drafting of management responses to JIU recommendations;
  • Monitor JIU reports and management letters and elevate areas requiring action by management as appropriate;
  • Gather and compile the annual reporting to the JIU, Executive Board, and Advisory Committee on Oversight (ACO);
  • Prepare responses to donors and external stakeholders on the implementation of JIU recommendations and action taken in response to JIU reports.

Perform other official duties and special assignments which may be requested by the Director.

Required Skills and Experience

Education:

  • Master’s degree (or equivalent) in business or public administration, international relations, political science, or other related fields.
  • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Experience:

  • At least 2 years of relevant experience in management and administration within the international and/or corporate organizations preferably in the United Nations system and its organizations.
  • Experience drafting briefing notes, presentation and/or other background documents.
  • Experience coordinating meetings

Languages:

  • Fluency in English, both oral and written, is required.
  • Knowledge of another UN official language is an asset.
