Org. Setting and Reporting The Department of Operational Support (DOS) provides operational support to UN Secretariat entities globally, including advisory, operational and transactional support services and, where needed, exercises delegated authority on behalf of clients. DOS supports the entire UN Secretariat, consisting of almost 100 entities located around the globe.

The Facilities and Commercial Activities Service (FCAS) operates the Headquarters complex, striving to provide effective and efficient planning, management, maintenance and operation for all existing physical facilities and assets at the UN Headquarters, New York. FCAS also supports office and conference facilities, property management, travel and transportation services, archives and records management, mail and pouch operations, catering, giftshop and the United Nations Postal Administration.

The Travel and Transportation Section (TTS) provides travel and transportation services at UN Headquarters (travel, shipments management, UN travel documents, visas and host country services, local transportation, materials management and UNHQ garage operations).

This position is located in Travel Unit in the Travel and Transportation Section at the United Nations Secretariat. The incumbent will report to the supervisor of the Travel Business Analytics Team (TBAT) under the general guidance of the Chief of the Travel Unit.

Responsibilities Within delegated authority, the Travel Assistant may be responsible for the following duties and tasks: - Provides guidance on policy and procedure for official travel and visa requirements to staff members. - Assists with the collection and analysis of data as well as preparation of travel data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. - Reviews various supporting documentation for completeness, accuracy, reasonableness, validity, and conformity with UN Rules, host country guidelines and foreign visa issuance requirements. - Advises substantive offices, staff members, and other relevant travelers on relevant travelling documentation and visa requirements. - Collects HR data to compile and review Host Country reports and reconciles variances with the Host Country and various Administrative/Executive Offices. - Uses Umoja to research and verify staff HR data - Maintains database for visa requirements. - Compiles statistical reports on activities of the Travel Unit and the Global Travel Community. - Perform ad hoc duties as required.

    Education High school diploma or equivalent is required.

    Work Experience A minimum of five years of experience in travel administration or related area is required.

    Experience working in a front office environment is desirable.

    One year or more of experience in data analytics or related area is desirable.

    Prior experience in international organizations is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.

    Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
