Eligibility criteria
Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.
Description of task
Within the delegated authority and under the supervision of Fleet Maintenance manager or his/her designated mandated representative(s), the UN Volunteer Transport Assistant will:
• In consultation and collaboration with the Central Warehouse Unit (CWU), to con-duct thorough stock count of the Transport stockholding in order to identify slow-moving, non-moving and obsolete line items for their subsequent disposal through appropriate channels;
• To closely monitor the usage of Transport spare part for determining the con-sumption pattern of the mission fleet to enable an effective inventory control sys-tem and an accurate forecasting;
• Using online, digital and paper catalogues from different vehicles and equipment manufacturers; to cross-check and certify that all spare parts ordered and held in our different warehouses are fit and required for the makes and models of our ve-hicular fleet, hence achieving efficiency of the TPT inventory;
• Continuous follow up with the Central Warehouse Unit to ensure that all steps/ac-tions for the preparation and shipment of spare parts to the regional workshops are effectively undertaken in a timely manner;
• Prepare spare parts Orders to our local vendors and submit it to the Supervisor for review and approval;
• To review Tasking Orders sent to the contractors/vendors by email and ensure that parts ordered are effectively and fully delivered on time;
• Daily liaison with local contractors and vendors for the acquisition of required spare parts, tools and workshop consumables;
• To record all requests in a consolidated data sheet, indicating those line items that are available in stock and those that needs to be procured;
• Identification of vendors and collection of quotations for the processing of LVA re-quests;
• Liaise with the Petty Cash Holder for the purchasing of spare parts urgently re-quired by the workshop but not available on the shelves;
• To update local contracts expenditure records and inform the supervisors about the NTE utilization;
• Performing other duties as assigned by the Fleet Maintenance Manager
Qualifications/Requirements
Required degree level:
Secondary education
Education - Additional Comments:
• Highly desirable to have post- secondary education with appropriate technical and vo-cational qualifications in spare parts and warehouse and operation.
Required experience:
48 Months
Experience remark:
Minimum four years previous experience in spare part management and warehouse operations
Language skills:
- English(Mandatory), Level - Working Knowledge
Area of expertise:
Inventory, asset and warehouse management, Vehicle and fleet operation and maintenance
Area of expertise details:
- Good math and computer skills to include Microsoft Office and internet applications;
- Good interpersonal and communications skills;
- Have affinity with or interest in humanitarian relief, post-conflict situations, volunteerism as a mechanism for durable development, and the UN System.
- Valid national driving license on ‘B’ Category, Heavy Duty and/or MHE License is an advantage.
