BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The United Nations World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience.

The Emergency Operations Division (EME) supports WFP’s Regional Bureaus (RBs), Country Offices (COs) and partners to prepare and respond to current and future emergencies in a rapidly changing humanitarian environment. EME provides a field-focused, service oriented, steering and convening role focusing on forward-looking preparedness and support to emergencies to ensure a swift, coordinated, and integrated response. In particular, the ability to timely deploy surge staff with the required operational experience and technical skills remains a critical factor for effective emergency response.

The Global Surge Coordination Unit (GSCU) within EME identifies, upskills and deploys emergency response staff in support of life-saving operations where required. It is responsible for managing the process of identifying and deploying personnel in response to staffing requests, leveraging a pool of qualified candidates. The GSCU also maintains Standby Partnerships with governments and NGOs to field technical experts when needed. It also holds the Surge Learning team which capacitates staff through a curated learning journey that ensures those deployed have the right skills to make an impact.

The Surge Learning team is recruiting a Training Officer to support the delivery of world-class learning programmes online and face to face, in order to ensure WFP’s global workforce is equipped with the required skills and capabilities to achieve its strategic objectives. The role will focus on providing administrative, technical and logistical support for a small team of Training Specialists to provide bespoke learning solutions.

ACCOUNTABILITIES/RESPONSIBILITIES:

  1. Provide assistance to the training team and the in-house Business Support staff across all aspects of the training events organization (including but not limited to: shortlisting of candidates, communication with participants, resource packs preparation, training materials dissemination)
  2. Administer and consolidate training data and evaluations into report templates and online dashboards;
  3. Set up online facilitation environments and provide technical support during trainings;
  4. Edit and upload webinars and related instructional videos to the online training platforms used by the Surge Training team;
  5. Administer the back-end of the Learning Management System to ensure participants’ enrolment and certification;
  6. Maintain the alumni and the training distribution mailing list, and effectively assist in disseminating the unit’s communication initiatives (via online communities, internal channels);
  7. Establish and maintain a centralized administration process for both the online and face to face training events of the SURGE Emergency Responder Learning Path;
  8. Manage the Surge Training shared mailbox correspondence to address support requests in a timely manner;
  9. Actively participate in trainings including through role-plays and any other duties that arise on the ground;
  10. Other duties as required;

QUALIFICATIONS AND EXPERIENCE REQUIRED:

Education:

University degree in any recognized subject area (e.g. International Relations, Development Studies, Political Science, Social Sciences). An appropriate mix of vocational training and professional experience may be an acceptable alternative.

Experience:

  • Minimum of 2 years’ experience in face-to-face and online event organization ideally in trainings;
  • Advanced proficiency in Excel and other Microsoft Office 365 applications specifically Forms, SharePoint, Word, PowerPoint, Teams;
  • Experience operating the technical side of online facilitation environments (e.g. Zoom, Miro) and Learning Management Systems (CrossKnowledge LMS experience is considered an advantage);
  • Work experience in the UN System, NGOs or INGOs is desirable.

Knowledge and Skills:

  • Meticulously organized with attention to detail whilst managing competing demands.
  • Excellent interpersonal skills to collaborate with colleagues across business functions, levels and geographical areas.
  • Proficient in training events administration (including via Learning Management Systems).
  • Outstanding communication skills with sound writing abilities. Knowledge of WFP emergency terms an advantage.
  • Strong creative problems solving skills; agile, flexible and patient; ability to work with ambiguity, constructive approach to overcoming challenges and build consensus across diverse and global teams.
  • Knowledge of using database management tools desirable.
  • Basic knowledge of graphic and video editing software an advantage.

Languages:

Fluency in oral and written English is essential. Intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP’s working languages) is desirable.
