1. Organizational Context

  1. Organizational Setting

The post is located in the Performance and Development Section of the Human Resources Management Department (HRMD). This Section is responsible for professional development of staff, reduction of skill gaps and facilitation of effective performance management in line with the organizational strategy.

  1. Purpose Statement

The incumbent, as a member of the Performance and Development Section, is required to support the organization of digital and in-person training activities and provide day-to-day functional support to WIPO employees on staff development and learning enquiries by email and telephone.

  1. Reporting Lines

The incumbent works under the supervision of the Head of the Performance and Development Section.

2. Duties and Responsibilities

The incumbent will perform the following principal duties:

a. Provide logistical and general administrative support for the organization of in-person and virtual classroom training, including registration in WIPO's Learning Management System (LMS), room booking and arrangements of room settings, sending out invitations, following up with participants to share information, and distribution of training material.

b. Reply to general telephone and email queries related to staff development and training in a timely and client-focused manner; forward more complex or unusual issues to the supervisor for instruction or follow up; monitor the end-to-end enquiry lifecycle and bring to the supervisor's attention any pending issues.

c. Collect and compile information on training-related issues raised by WIPO employees and bring recurrent issues to the attention of the supervisor, proposing basic changes as appropriate; type and prepare templates and scripts for replies to enquiries and FAQs.

d. Record financial transactions arising from training activities in the financial system of the ERP solution for approval of the supervisor.

e. Input information in the LMS for the creation of online courses and update and maintain this information; support the administration of external digital learning platforms by (re)assigning licenses in accordance with established standards, setting up course sessions, sending out of invitations and reminders and compiling information for statistical reporting; when instructed test new digital learning products.

f. Perform other related duties as required.

3. Requirements

Education (Essential)

Completion of secondary education.

Experience (Essential)

At least three years of related work experience, including experience in customer/client support and the organization of meetings, workshops or training activities.

Experience (Desirable)

Experience working in an international organization. Experience in working with Learning Management Systems.

Language (Essential)

Excellent knowledge of written and spoken English and French.

Language (Desirable)

Knowledge of other UN official languages.

Ability to maintain records and files and update databases.

Ability to draft standard correspondence and emails.

Ability to search, retrieve and compile information from a variety of sources.

General Service posts are subject to local recruitment. Staff in the General Service category are recruited in the host country or within reasonable commuting distance of the Headquarters.

Temporary appointments are renewable, subject to continuing needs, availability of budget and satisfactory performance with a maximum cumulative length of two years.
