Result of Service To provide effective and efficient support to the Office of the Director of Resource Management and Service Development Division and the Service Management Unit.

Duties and Responsibilities Under the direct supervision of the Administrative Officer the Team Assistant will be responsible to perform the following duties in support of the Office of the Director of RMSDD and the Service Management Unit (SMU) under the Resource Management and Service Development Division (RMSDD):

  • Assists in researching, extracting, compiling, processing and manipulating data sets, derived from a variety of sources, for reports, work plans, briefings, meetings etc.;
  • Supports in reviewing agreement documents and coordinates with concerned stakeholders until document is duly signed;
  • Produces a wide variety of large, complex documents and reports. Supports in drafting Standard Operating Procedures and workflows;
  • Performs a wide range of office support administrative functions and backstopping services, including the organization and arrangement of training workshops, meetings and side events;
  • Responds or drafts responses to routine correspondence and other communications. Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format;
  • Supports SMU in identifying and assessing customers' needs to maintain client satisfaction and generates a variety of standard statistical and other reports from the Service Portal to identify issues of concern and report them through the appropriate channels for resolution;
  • Screens phone calls and visitors; responds to moderately complex information requests and inquiries, and as necessary, refers inquiries to appropriate personnel for handling.
  • Provides accurate, valid and complete information through the correct channels to support SMU clients;
  • Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required;
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit;
  • Maintains files (both paper and electronic) and databases for work unit;
  • Performs other duties as assigned.

    Qualifications/special skills Academic Qualifications: High school diploma or equivalent is required. Experience: A minimum of two years of experience in administrative and general office support is required. Language: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of Arabic language is desirable.
