UNICEF's Global Shared Services Centre (GSSC) in Budapest, Hungary provides services to UNICEF offices globally in the areas of Finance, Human Resources, Payroll and Information Technology.

GSSC has won the 2019 Business Services Firm of the Year in Hungary, 26 regional awards announced at the Central and Eastern European Business Services Summit & Awards held in Warsaw, Poland.

Within the Global Shared Services Center, the Service Quality Management (SQM) section ensures agreed service levels are consistently met in a cost-effective way through performance monitoring, improvement initiatives, organizational quality management, and client relationship management.

In Service Quality Management section, the Business Analysis Unit manages a broad area of functionalities related to internal change management, Performance management and also acts as a Coordinator between HQ departments and business units within the GSSC on system enhancements. In addition to regular work the team manages several projects.

How can you make a difference?

Within the Service Quality management section, this Senior Project Associate post will support the Business Analysis Unit in business planning and analyses to ensure the GSSC project deliverables meet business requirements & deadlines, performance analysis, documenting processes and performing user acceptance testing.

Key functions, accountabilities, and related tasks:

1. Coordination and maintenance of change requests/improvement projects at the GSSC

  • Arrange regular meetings of Change Advisory Group and Change Review Board and ensure the change process is adhered to
  • Ensure the change management system is kept updated, including documenting and communicating the results of meeting discussions
  • Ensure change management tools are fit for purpose and suggest modifications and improvements
  • Perform benefits/efficiency calculations and check calculations performed by other units to ensure in line with agreed methodology.

2. Case management and ERP (SAP) systems support

  • Provide support in UAT (User Accepting Test) exercise to validate the business process changes are accurately functioning in the systems.

3. GSSC Performance Analysis and Improvement

  • Prepare content and support material for the weekly performance review meetings with the GSSC Stream Leads.
  • Support and follow-up on outstanding actions in relation to identified areas of concern with relevant GSSC sections;
  • Tracking and sharing performance metrics to report about the center’s productivity to assist business analysis unit in assessing and improving service delivery;
  • Prepare and calculate KPI results as inputs to the Reporting Team for automating the Balanced Scorecard for GSSC.

4. Administrative assistance to Business Analysis Unit when needed

  • Maintain accurate and complete documentations for all business processes
  • Assist cross-functional teams in project development and implementation activities
  • Process other duties as assigned

To qualify as an advocate for every child you will have…

  • Completion of secondary education (high school diploma) is required, preferably supplemented by technical or university courses related to the field of work.
  • A minimum of 7 years of relevant project work experience is required.
  • A completed university degree from an accredited institution will be counted toward the minimum work experience requirements.
  • Knowledge of SAP system is highly desirable
  • Hands on experience in a business analysis/process improvement capacity is highly desirable.
  • Strong organizational, planning and prioritizing skills and abilities.
  • High sense of confidentiality, initiative and good judgment.
  • Experience in project support functions and knowledge of Power BI is an asset.
  • Relevant experience in a UN system agency or organization is considered as an asset.
  • Fluency in English both verbal and written. One other UN language is an asset.

Requirement for Internal applicants

Internal applicants are required to complete the GSSC Learning Paths for the level of this post.

For Vacancy Announcements in 2021, internal applicants who are only able to complete the self-directed online components of training courses in the Learning Paths due to non-availability of workshops during the time of the Vacancy Announcements, are required to complete the workshop components during the selection process.
