The position is located with the Director’s Office in UNICEF Supply Division. The Director’s Office leads the global UNICEF Supply Function achievement of results; Provides targeted guidance on new and critical issues; and Oversees the allocation of SD resources, including launching cross-cutting projects, product innovation projects and optimization initiatives.

How can you make a difference?

The Senior Executive Associate provides direct support to the Director, Supply Division and is accountable for specialized administrative functions and coordination to maintain effective Director’s Office operations, as well as managing confidential information and coordination of sensitive matters. The post is a key interface with broad range of contacts including high-ranking officials, both within and outside of the organization.

Under the supervision of the Executive Manager, the Senior Administrative Associate carries out the following key tasks and responsibilities:

  • Take full responsibility for time management and scheduling on behalf of the Director with appropriate consultation as required. Effectively prioritize and resolve related conflicts and competing demands as needed.
  • On behalf of the Director, manage, screen and prioritize incoming and outgoing correspondence. Identify issues requiring attention and refer to the relevant focal points as needed; monitor and follow-up on action to be taken. Draft responses to written inquiries as required.
  • Plan and coordinate the Director’s duty travel, public appearances and meetings with government officials, other partners and UNICEF staff. Liaise with relevant parties to arrange itineraries, agendas. Research, prepare, and collate briefing and background materials as required.
  • Support the planning of high-level visits and events hosted by the Director’s Office, including drafting agendas and coordinating logistical arrangements with relevant focal points, facilitators, caterers, and hosts.
  • Undertake representational duties on behalf of the Director’s Office, including serving as first point of contact and key interface with a broad range of contacts including high-ranking officials within and outside of the organization.
  • Receive and screen requests transmitted by the Office of the Executive Director; route to relevant focal points, screen inputs and and finalize responses for Director approval.
  • Independently handle correspondence and other communications with UNCT and assist with protocol and official correspondence with the Government of Denmark.
  • Follow up on established deadlines and ensuring timely submissions by relevant staff of reports, correspondence and other documents. Finalize documentation for Director’s signature reviewing for style, factual and grammatical accuracy.
  • Support the review and update of Supply Division’s administrative and planning documents (annual work plan, office management plan, etc.), as required.
  • Maintain effective liaison with counterparts across UNICEF and partner agencies.
  • Supports management of administrative supplies and office equipment for the Director.
  • Other duties as required

Requirements:

  • Completion of secondary education
  • A minimum of seven years of relevant administrative or clerical work experience
  • Prior experience working in an executive-level support capacity
  • Fluency in English
  • Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residence permit as such an extension cannot be dependent on an employment with UNICEF

Desirables:

  • Technical or university courses related to the field of work
  • Familiarity with UNICEF’s work in supply and logistics
  • Proficiency in another UN language (Arabic, Russian, Chinese, Spanish, French) or Danish.
