Org. Setting and Reporting This position is located in the English Translation Section, Languages Service, Division of Conference Management, Department for General Assembly and Conference Management, Geneva. The incumbent reports to the Chief of Section.

Responsibilities Under the general supervision of the Chief of the English Translation Section, the incumbent will be responsible for the following duties:

- Manages the overall programming of work in the Section and is responsible for organizing and monitoring the flow of work related to documents, publications and summary records; indicates priorities and deadlines and, monitors the progress of work to ensure that they are met; distributes work to translators, precis-writers and revisers and to outside contractors when necessary. - Manages and operates the Global Documents Management System (gDoc 2.0): distributes and coordinates the flow of information to enable each translator/precis-writer to enter his/her inputs into the system, advises on its use, monitors the quality and timeliness of information, prepares reports and statistics on production and management; coordinates with relevant stakeholders regarding changes and adjustments to gDoc 2.0. verifies data in gData2 and gives feedback on content. - Evaluates all documents and publications submitted for processing, in order to verify reprise, ensures compliance with submission dates, and in accordance with relevant policies, guidelines, rules and regulations on requirements for documentation; plans capacity for summary records and programmes individual assignments. - Uses gDoc 2.0 and other tools to monitor and follow up processing of documents and summary records by electronically-generated reminders, to provide precis-writers, translators and revisers with updated information, to compile statistics on compliance as required, and to provide necessary information for forecasts of capacity, recruitment and budget requirements. - Independently responds to queries from precis-writers, translators and revisers and all processing units. - Advises and liaises directly with client units, as necessary. - Trains and supervises new staff as appropriate. - Depending on the needs of the Section, availability for overtime is expected. - Carries out other tasks requested by the Chief; performs general office management functions as required.

Competencies PROFESSIONALISM: Knowledge of the UN documentation planning, processing and distribution workflow. Ability to plan capacity and to assist in the overall advance planning and scheduling of precis-writing and other assignments in accordance with priorities. Ability to organize information required for the monitoring, following-up and updating of the schedule of processing of documentation and summary records. Knowledge of the relevant policies, guidelines, rules and regulations on precis-writing, and documents documentation processing and distribution. Ability to adapt to changing procedures and modus operandi in order to implement ever-changing concepts for improving timeliness of documentation. Ability to research and organize information, and to compile statistics on performance of the section. Ability to respond to changes in meetings requirements and reprogramme work. Shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines and achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. Education High school diploma or equivalent is required.

Work Experience At least ten (10) years of experience in conference services, documentation processing and management or related area is required.

Out of these, three (3) years' experience within the United Nations Common System is desirable.

Four (4) years of experience in documentation planning and processing and in outsourcing language services, including experience with documents management systems such as gDoc, Contractual Management Application (CMA) or any similar documents management system is desirable.

Experience with the United Nations documents, summary records and meetings capacity planning, and publications services is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For this position, fluency in English and French is required.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice - This position is temporarily available until 31 December 2022 with a possibility of extension. - Recruitment for this position is done on a local basis, whether or not the candidate is a resident of the duty station. - Candidates should have no expectation of any fixed-term appointment possibility after the end of this temporary assignment. - If the selected candidate is an internal staff member of the UN Secretariat, the selection will be recorded as a temporary assignment. - While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post. An external candidate selected for this position is bound by the prevailing condition of the staff selection system under ST/AI/2010/3, as amended, and ST/AI/2010/4/Rev.1 - Subsequent to the initial temporary appointment, new and successive temporary appointments may be granted for service in the same office or in a different office any number of times, for any duration, provided that the length of service does not exceed the period of 364 calendar days. - Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.
