Org. Setting and Reporting This position is located in the Meetings Support Section, Meetings and Publishing Division, Department for General Assembly and Conference Management (DGACM). The incumbent reports directly to the Team Leader -Distribution under the general Supervision of the Chief, Meetings Services Unit.

Responsibilities Within limits of delegated authority, the incumbent will be responsible for the following duties:

- Participates in all aspects of documents distribution, both in hardcopy and electronic form and ensuring the most efficient and effective provision of official documentation and publications; establish print on demand orders in conjunction with the digital printing team.

- Provide meetings services support to all meetings held at UNHQ and other locations, including retrieving documents electronically and distributing texts of speeches, parliamentary documents, ballots and voting results as required;

- Produces daily and weekly programme of assigned committees and meetings/conferences and ensures documents are printed and delivered to meeting rooms and other users in a timely manner,

- Utilize gDoc and ODS to track the status of and download documents required for printing and distribution; Track the deadlines for documentation release dates and establish print on demand orders in conjunction with the digital printing team

- Reviews incoming requests for documentation printing services and ensuring that they are inline with UN rules and regulations governing processing and distribution of UN documents and publications;

- Prepares monthly and weekly statistics on documentation distributions in accordance with reporting standards;

- Provides general office support functions, as required; drafts routine correspondence for signature.

- Maintains filing and reference system of procedures and reference materials for committees and meetings/conferences.

- Rotates in shifts, as well as weekend on-call duties, as needed, depending on the needs of the service, availability for overtime is expected.

- Assists the Team Leader in responding to queries from delegations and the Secretariat and replaces the Team Leader as and when required;

- Replaces, as needed, senior staff responsible for the electronic distribution of the daily documents.

- Guides, trains and supervises the work of junior staff; undertake cross training and engage in multitasking in order to support various aspects of the evolving documents distribution work environment.

- Performs other duties as required.

    Education High school diploma or equivalent is required.

    Work Experience Five years of progressively responsible experience in documentation and support to intergovernmental meetings or related is required.

    Experience with UN digital documents distribution and documents planning systems, ODS and gDoc is required.

    Experience working with documents distribution and publishing practices within the United Nations system or similar organization is desirable.

    Experience in servicing intergovernmental meetings is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English is required. Knowledge of another official UN language is an advantage.

    Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
