Org. Setting and Reporting This position is located in the NGO Relations, Advocacy and Special Events Section in the Outreach Division, Department of Global Communications. The objective of the Outreach Division is to enhance understanding of the role, work and concerns of the United Nations and to encourage the exchange of ideas, information and knowledge in support of the goals of the Organization. The incumbent reports to the Public Information Officer and Chief of Section. The NGO Relations, Advocacy and Special Events Section advocates for UN priority issues and raises awareness on the role of the United Nations among the general public and key constituencies through relations with non-governmental organizations, the "creative community" including television and film, its celebrity advocate Messenger of Peace Programme, and the management of major special events held on the United Nations premises, including the annual UN Day Concert, film screenings and other cultural events. The position is available for six months with a possible extension, effective immediately.

Responsibilities Within delegated authority and depending on location, the Public Information Assistant may be responsible for the following duties: (These duties are generic, and may not be performed by all Public Information Assistants.)

•Provides specialized assistance in the production and delivery of information communications products and services in support of Civil Society Briefings programmes in-person and virtual.

•Researches a broad scope of information sources, printed and electronic; compile and present information for use in the preparation and production of communications products/services for NGOs formally associated with the Department of Global Communications and civil society (e.g. media alerts and press releases).

•Drafts correspondence, background information, talking points, programme and summaries of briefings for posting on the section's website, letters to speakers in support of the department’s Civil Society Briefing programme.

•Organizes and executes special events, coordinating with diverse partners and the media to highlight and publicize key events.

•Handles administrative coordination in support of special training and other programmes.

•Researches and designs a weekly Civil Society Newsletter and email blast using digital applications. Prepares and submits inputs for "DGC Updates, "Heads Up" and the "Insider" on behalf of the NGO Relations Section.

•Oversees the distribution of audio and video materials; ensures the good management of the film/video archives, and the proper safekeeping/preservation of historical audio/visual materials.

•Serves as the online marketing and promotion coordinator by overseeing the day-to-day marketing activities and working closely with the audio/visual webmaster to ensure successful branding techniques; undertakes proactive call and directs mail initiatives to build a client base and nurture relationships; produces a wide range of promotional products; and develops data collection mechanisms to gather data on the audience and end-users of UN audio/visual products.

•Leads the unit’s social media team for creating cheat sheets and developing promotional campaigns and strategies for coverage of all Briefings.

•Participates in planning and execution of live broadcasts or taping of virtual briefing programs; directs; books studio time and schedules pre-production planning meetings; provides logistical support during live broadcast; coordinates logistics and technical arrangements, working closely with BCSS, e-Meets, MSU, DSS and other DGC offices.

•Assists in the electronic dissemination of programmes; prepares, maintains and updates web page, to include drafting and editing content; uploads/downs load audio files and maintains file structure.

•Identifies and prepares new material for inclusion in appropriate web pages by: researching various information sources for relevant material and cross-checking information with author offices as required; identifying, retrieving and downloading pertinent documentation and other information in requisite programming languages for Web format or inserting into database after determining appropriate categorization; editing documents to conform to UN format, structure and style.

•Works closely with the Public Information Officer and Chief of Section to ensure successful branding techniques; undertakes initiatives to build a client base and nurture relationships in support of the Briefing programme, UN Civil Society Conference and other partnership building strategies as assigned; maintains a database of speakers and assists with data collection to gather feedback on the audience.

•Provides guidance and training to junior staff.

•Performs other duties as assigned.

Education High school diploma or equivalent.

Work Experience Direct experience working with NGOs or Civil Society Organizations is required Event planning in person and virtually is required Experience in drafting correspondence is required Experience with social media in an organizational setting is desirable

Languages English and French are the working languages of the United Nations Secretariat. Knowledge of another official United Nations language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
