New York Service Cluster (NYSC) supports the United Nations Secretariat, as well as other New York-based United Nations organizations, bilateral and multilateral partners in the delivery of UNOPS mandate in project management, infrastructure management, and procurement management.

Sustainable Development Cluster (SDC) supports diverse partners with their peacebuilding, humanitarian, and development operations. It was formed by combining the following portfolios: Grants Management Services (GMS), UN Technology Support Services (UNTSS), Development and Special Initiatives Portfolio (DSIP) It provides Services to partners' programmes that are designed, structured, and managed with a global perspective and primarily serving partners that are headquartered in New York. The SDC has a footprint of approximately 125 countries.

In May 2015, the DFS Supply Chain Management (SCM) Vision and Strategy was formally approved by the USG DFS. In January of 2019, post management reform, the newly formed Department of Operational Support (DOS) established the Office of Supply Chain Management (OSCM) with a vision to provide efficient, agile, responsive, and accountable end to end uniformed capabilities and supply chain solutions to its global clients and partners.

The Office of Supply Chain Management covers a wide scope of services including supply chain planning and performance management, logistical support, procurement, vendor management and supplier diversity, aviation safety, and uniformed capabilities support. OSCM’s mission is to support its clients and partners globally to fulfil their mandates by providing the goods and services they need, when they need them, where they need them and at the best prices. OSCM is committed to enable successful implementation of mandates given to all Secretariat entities by anticipating customer demand, providing strategic services, and organizing for goods and services to be delivered in a timely manner.

Functional Responsibilities

This position supports the Office of Supply Chain Management (OSCM), Department of Operational Support (DOS) within the Master Data Management team. The incumbent of this position will be a personnel of UNOPS under its full responsibility. Under the direct supervision of the Senior Project Manager based in New York, the Project Management Support- Senior Assistant will perform the following duties: - Extract data from various systems, compile and analyze data and assist in the preparation of reports, presentations and project documentation as required. - Carry out administrative duties by collecting data, sorting, filing, and sending out project files to the right personnel and stakeholders. - Keep records of all project items, and ensure they are adequately delivered to the various departments as directed by the project manager. - Provide support with the organization of meetings; prepare minutes and summaries of actions to be taken, and follow-up with focal points - Provide support in the preparation of presentations, seminars and trainings being organized. - Provide support and create balance in the time and scope of executing projects under the direct supervision of the project manager. - Assist with the compilation and distribution of reports, framework documents, lessons learned and best practices - Provide day to day support to the project team. - Perform other duties as may be reasonably required and in line with the incumbent’s scope of services mentioned above.

Education/Experience/Language requirements

a) Education

  • Completion of High school or equivalent is required.
  • A bachelor’s degree preferably in project management, Business Administration, Management, or related fields is considered an asset and may substitute for some of the required years of work experience.

b) Work Experience and skills

Required:

  • At least five (5) years of relevant work experience in administrative support, programme and/or project management is required.

    Desirable:

  • Ability to work with computer and office software packages, knowledge of spreadsheet and database packages such as excel, world, PowerPoint and Visio is desirable.

  • Some experience in UN system organizations is desirable.
  • Excellent organizational skills, attention to detail, and ability to multi-ask.
  • Ability to work independently as well as in a team environment.

c) Language

  • Fluency in written and spoken English is required. Fluency in one or more official UN languages is desirable.
