Organizational Setting

This position is based in FAO Representation in Sana’a, Yemen. FAO's office in Yemen is responsible for developing, promoting, overseeing and implementing agreed strategies for addressing countrywide food, agriculture and rural development priorities. It also develops and maintains relations with the relevant Ministries at country level. The main aim of FAO country offices – which are headed by a FAO Representative – is to assist governments to develop policies, programmes and projects to achieve food security and reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

Under the overall guidance of the FAO Representative and the direct supervision by the Emergency and Resilience Specialist, the Programme Assistant will support the programming activities of the Emergency and Resilience Unit.

Technical Focus

The incumbent will contribute to implementation of FAO Yemen’s emergency and resilience programme through close contact with, and under the guidance of, the FAO Representative and the Emergency and Resilience Specialist. The incumbent will provide required administrative support to coordinate and implement project activities at national level.

Tasks and responsibilities:

  • Assist in achieving project administration work (including making and receiving phone calls, organizing meetings, and preparing meeting minutes).
  • Assist in the preparation of regularly scheduled reports.
  • Liaise with implementing partners and stakeholders and keep up-to-date regulatory information.
  • Follow up with other FAO departments/units such as the Cash Unit, M&E, Admin/Finance, and Procurement/Logistics to ensure that the project implementation process is aligned with all agreed procedures, polices, and standards.
  • Undertake day-to-day clerical activities.
  • Lead and ensure appropriate and continued documentation of project progress.
  • Assist in the drafting of correspondences with authorities and counterparts (government officials, UN agencies, NGOs, etc.) in order to ensure fluent and accurate communication flows.
  • Ensure the continuity of relationships with local actors and keep an updated list of contacts.
  • Prepare routine correspondence of an administrative nature including, but not limited to, drafting correspondence to verify data, answering queries, obtaining additional information on transactions and financial matters, as required.
  • Collect, compile, and document lessons learned, success stories, and any other relevant project information.
  • Maintain a filing system of administrative and financial documents.
  • Assist in the process of budget monitoring and budget revisions.
  • Perform other related duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

  • University degree in Business Administration or related field.
  • Four years’ experience in a relevant field.
  • Fluency in English and Arabic, both written and spoken.
  • Ability to effectively use standard office software, such as MS Office (Windows, Word, Outlook, Excel, Exchange, Oracle, GRMS, or any related software), etc.
  • Ability to use accounting software and other information systems and databases to input data, make enquiries, retrieve/define ad hoc reports and analyses, and present results in an appropriate format.
  • National of Yemen.
