Organizational Setting

The Food and Agriculture Organization (FAO) is a specialized agency of the United Nations that leads international efforts to defeat hunger. The main aim of the FAO country offices, which are headed by an FAO representatives, is to assistant governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors and to use their environmental and natural resources in a sustainable manner to ensure zero hunger in the country. FAO provides support in three priority areas: sustainable increase in production and productivity, agriculture-based economic growth, and increased resilience of livelihoods to threats and crisis.

The current portfolio of projects in South Sudan includes activities related to agriculture (crop), livestock, Fisheries, Natural Resource management, food information systems is implemented with humanitarian, transitional and development funding.

The incumbent will contribute to the country’s programme and portfolio as foreseen in the project he/she will coordinate and be assigned.

Reporting Lines

The Logistics Associate – Inventory Management will work under the direct supervision of the Logistics Officer.

Technical Focus

  • Lead inventory management, including data entry/collection, data analysis, and other information as needed, while ensuring accuracy of numerical and qualitative data and addressing inaccuracies as they arise;

Tasks and responsibilities

  • Maintain the quality of data by conducting cross checks using source documents, identify data discrepancies and address it with concerned personnel;
  • Flag any missing information/documents or errors and proactively follow up to retrieve the required data;
  • Ensure inventory database is updated; transfer of data from documentation to tracking software;
  • Maintain the archive system (hard and soft) of logistics documents: filing and scanning all signed logistics documentations, distribution lists and other related logistics documents;
  • Coordinate logistical support for the receipt and distribution of inputs and assets procured under various FAO projects/program in South Sudan;
  • Liaise with Service Providers contracted by FAO under LTAs or other contractual modalities for the timely and cost effective provision of required services;
  • Undertake negotiations with internal clients, Service Providers and / or multi-stake holders;
  • Lead field missions and conduct trainings for field staff related to logistical activities.
  • Review weekly warehouse update reports in Juba and field offices level;
  • Perform any other duties as assigned by the supervisor.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

  • Advance University degree in logistics, supply Chain management, Procurement or related field.
  • Five years working experience in logistics, supply chain management , procurement or a similar field
  • Fluency in written and spoken English.
  • A South Sudan National.

Technical/Functional Skills

  • Strong computer skills such as ability to use MS Office (word Excel, Access, Visio, PowerPoint) as well statistical skills.

  • Experience in inventory management software is strongly desirable
  • Familiarity with UN administrative, operational and financial procedures is an asset
  • Ability to work under pressure;
  • Ability to work in a multicultural environment
  • Ability to plan, organize, implement and report on work is required.
