Duties and Responsibilities The Knowledge and Learning Commons, at the UN Library & Archives Geneva, generates new opportunities for learning, knowledge exchange and collaboration for diplomats, UN staff and interns in Geneva. The Commons manages many sessions and events. For this position, the contractor will work closely with Events and Multimedia Coordinators to create sessions in a collaborative environement. The following functions are required:

· Coordinate and manage the realization of sessions and events, including idea development, administration, communication, project documentation and team coordination.

· Ensure timely, professional production of online/hybrid sessions and online products, including technical checks, rehearsals, client support for technical needs, and successful delivery of live, (online, hybrid or in-person) events.

· Liaise with clients, stakeholders and internal partners and colleagues to ensure the successful preparation and realization of events and activities.

· Translate events summaries and documents into French and English.

· Take on lead responsibility for specific event tasks, including graphic design and invitation production, accessibility of invitations and materials such as PPT slides, management of statistics, updating the CRM and mailing lists, communications projects such as the monthly newsletter and management of INDICO. The coordinators would use this time to learn and develop these skills, with the aim of leading them and overseeing continuous improvement over time.

· Act as online producers for the live events, and serve as Master of Ceremony or moderator for live events.

· Contribute to the evaluation and gathering of feedback, and apply it to improve programme offerings for clients.

. Produce short videos and multimedia projects.

. Work in close collaboration with the Events Coordinators and Communications Officer.

· Finalise all post-event activities, including client communications, statistics and data, and resources for participants.

Qualifications/special skills Competency: Professionalism. Communication, Creativity, Teamwork, Client orientation, Technological awarness Skills: Experience working in online event production and coordination is desirable. Experience in graphic design (using InDesign and the Adobe Creative Suite) and multimedia communications is desirable.

Experience in using online platforms, including the Microsoft Office Suite, Microsoft Teams Live Event, and Webex Events is desirable.

Experience with gathering data, updating Customer Registration Management (CRM) systems and other systems for managing attendees (such as UN INDICO) is desirable.

Experience with developing accessible events, and knowledge of accessibility needs in online events, is desirable. Academic Qualifications: A first-level university degree in communication, media and communication, event management, journalism, international relations, public administration or related field. Experience: Experience in event management and coordination, multimedia communications, public information, project management, journalism, international relations, public administration or related area. Language: Fluency in one of the working languages of the UN Secretariat, English or French, (both oral and written) is required; knowledge of the other is desirable. Knowledge of another UN official language is an advantage.
