Job Overview

IRC Sweden is in a strong growth phase, where a big focus is on raising funds. A key function to make this possible is the service and support to our donors, including the handling the incoming donations. This is a new role expanding this capacity, with an estimated 50/50 split between gift processing and donor services.

Gift Processing: The Associate will focus ongift processing operations, responsible for timely processing of donations; creating and maintaining accurate donor records; file imports/exports; quality control and donation data integrity; and maintaining department protocol development. The ideal candidate will be flexible and remain open to evolving responsibilities and expectations as our systems, and the teams we support, grow and evolve.

Donor service: The associate will support the Mass Markets team to deliver income-generating campaigns and activity and being the point of contact for supporter enquiries. The associate will be responsible for all supporter enquiries (together with the donor service responsible), delivering a first-class supporter experience across all channels and donor segments. This is will be a key role in supporting the mass market team in delivering marketing activities.

Position Reports to: Manager, Global Donation Operations and Head of Mass Markets, Sweden.

Main collaborations include colleagues in the Sweden team within Fundraising, Finance and communication and global colleagues in donor service and gift processing area. External coordination with key Data & Analytics vendors

Key Accountabilities

Gift Processing:

- Process and import gifts into CRM system, ensuring all data is entered according to processes. - Ensure all automated data uploads are maintained - Import and reconcile monthly sustainer payments - Manage donor data according to GDPR guidelines - Verify accuracy in data and reports, to assure alignments within CRM - Perform daily quality control processes to ensure accurate financial coding of all imported data - Reconcile income data weekly and provide a monthly reconciliation report to finance - Streamline and work together with other markets to assure data is correctly allocated in CRM - Strive to find more effective processes in our workflows, specifically processes not yet automated Build and maintain protocols and documentation to ensure consistent and accurate data transfer, storage and retrieval

Donor Services:

- Answer to incoming donor calls and requests via email and telephone - Handle enquiries and ensure accurate well-informed responses - Contribute to developing the donor service function to a high level of service and availability - Support with moderating comments on our social media channels - Manage send-outs to donors (gift cards etc.) - Administration linked to donors and donations - Backup to donor service responsible

Person Specification:

Skills, Knowledge and Qualifications:

- Excellent computer skills: facility with MS Word, Excel, CRM system (preferably Salesforce) - Excellent oral and written communication in Swedish and English - Strong interpersonal skills: possess the ability to communicate and liaise effectively with colleagues and vendors and works well within a team environment - Solid organisational skills: can work efficiently in a fast-paced, thorough, and collaborative environment and the ability to independently manage a varied workload and meet deadlines - Accuracy and attention to detail a must - Proven ability to plan, show flexibility, identify areas of improvement and solve problems creatively - Demonstrated skills for analysing and interpreting data and systems (preferred)


- Experience working in customer service or related field - Experience of CRM systems and data processing - Previous experience and understanding of fundraising (preferred) - Experience of humanitarian sector (preferred)
