Org. Setting and Reporting This position is located in the Mission Support Centre (MSC) of the United Nations Verification Mission in Colombia The Logistics Assistant will be based in Bogota and reports to the Logistics Officer for Operations and to Chief, MSC.

The focus of the Logistics Assistant is to assist the Logistics Officer for Operations within MSC and to Chief, MSC in the overall coordination of logistical support to all mission components by participating in planning, coordinating and delivering of logistical services.

Responsibilities Within delegated responsibility, the Logistics Assistant will be responsible for performing the following duties:

LOGISTICS SUPPORT and COORDINATION: •Identifies all routine logistics requirements within the mission, prepares, implements and controls appropriate methods to cater for them, ensuring optimal utilization of available resources; •Provides logistical and operational support to mission clients in terms of allocation of stock within the warehouses, initiating the movement of stock internally and initiating the physical count.; •Participates in generating an effective and efficient logistics planning and coordination with all Mission logistics related stakeholders and clients; •Reviews Mission's logistics implementation plan and operational directives to develop effective deployment plans and prioritization for goods and materials movements to mission location; •Participates and ensures the development of logistics emergency, contingency plans and identifies ways to overcome obstacles when delivering goods ; - Proven ability for drafting general logistics reports, logistic plans, SOPs and complex logistics and contingency strategies. Prepares drafts for budget requirements for mandate activities. - Work and communicate with field offices and contacts to receive and process daily information and weekly Logistic reports. Fact-check and cross-check information with multiple field sources; review all information to ensure accuracy and help to produce reports required for HQ, including informal information requests; •Monitor all aspects of work conducted by the Regional Administrative Officers in their Area of Responsibility, including and not limited to Sub-Offices and local sites. This includes all internal Mission tasking as well as projects and Mission responsibilities in support to UN offices and Government entities

TRANSPORT/MOVEMENT MANAGEMENT: •Coordinates the provision of ad-hoc transportation requirements including staff movement for duty purposes; •Coordinates and ensures assignments for the cooperative use of equipment with UN agencies, funds and programs; •Researches and analyses operational usage and performance trends, legal, administrative, and legislative requirements, supports the development of training for staff and other mission personnel as required; •Prepares documentation and reports for review of mission materials and asset holdings, including vehicles, for senior management review and decision making; •Completes periodic reports and documentation regarding provision of logistics support, including to non-UN entities.

ASSET MANAGEMENT: •Liaise with relevant stakeholders to ensure that all inbound shipments are properly verified (receiving and inspection) and processed accurately in Umoja; •Assists in consulting technical sections/units to identify surplus assets. •Conducts regular and ad-hoc physical inventory of property under the custody of the Logistics Operations Unit; •Participates in data cleansing, including changing storage locations, as and when required; •Ensures compliance with established property management and inventory key performance indicators (KPI), including both physical and in Umoja, and maintains frequent liaison with HQ-NY counterparts to this end. •Ensures that all UNVMC policies are applied and followed thoroughly across all processes, including adherence to UNVMC code of conduct and ethics, and integrates a gender-sensitive approach in all functions. •Perform other related duties as required.

Education A high school diploma or equivalent is required. Technical certification/diploma or other supplemental academic qualification or training in the field of logistics, supply chain management and/or engineering is desirable. Certification in MRP (materials Requirements Planning) and/or ERP (Enterprise resource planning), e.g. SAP ECC (ERP Central Component), SRM (supplier relationship management) or similar in support of scheduling, procurement, and/or logistics process is desirable. Certification on Business Intelligence for ERP systems or similar is desirable.

Work Experience A minimum of eight (8) years of progressively responsible experience in logistics services, service/performance management or a related field is required. Please explain how you meet this criterion using examples.

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written English is required and working knowledge in Spanish is desirable.
