Org. Setting and Reporting The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the respective office of the Secretary-General. UNON supports programme implementation of the UN Environment Programme (UNEP), the UN Human Settlements Programme (UN-Habitat) and the Resident Coordinator System globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org). This post is located in the Human Resources Management Service (HRMS) within the Division of Administrative Services of the United Nations Office at Nairobi. Under the supervision of the Associate Human Resources Officer in Staff Pay and Benefits Section, the incumbent will be responsible for carrying out the following duties:

Responsibilities Administration of entitlements

  • Reviews and processes requests for entitlements and claims.
  • Maintains Umoja entitlements reference tables.
  • Provides assistance in support of planning and implementation activities/processes for, typically, a large and highly complex component of the departmental human resources project initiative.
  • Assists in the coordination of special human resources project planning and preparation; monitors status of the project proposals; takes necessary action to ensure project documents are completed and submitted to relevant parties for approval.
  • Performs data cleansing, testing and validation in migration of staff data

General - Maintains HR related automated systems and applications including automated databases containing HR related statistics and prepares periodic reports. - Undertakes research on a range of HR related issues and assists in the preparation of notes/reports. - Provides general office support services; processes, drafts, edits, proofreads and finalizes for signature/approval a variety of correspondence and other communications; performs budget preparation, input monitoring and implementation in IMIS, etc.; sets up and maintains files/records (electronic and paper); schedules appointments/meetings, monitors deadlines, etc. - Prepares written response to queries concerning HR related matters. - Trains and provides supervision to new and lower-level staff in the unit. - Performs other duties as required.

Education High school diploma or equivalent. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Work Experience A minimum of seven (7) years of progressively responsible experience in human resources management, administrative services or related area is required. Working experience in Enterprise Resources Planning (ERP) systems like Umoja/SAP is required. Experience in processing UN staff entitlements and benefits is desirable. Data cleansing experience is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
