**OVERVIEW** ------------ Post Number : SC PA 040 Grade : G-4 Parent Sector : Natural Sciences Sector (SC) Duty Station: Paris Job Family: Natural Sciences Type of contract : Project Appointment Duration of contract : 1 year Recruitment open to : External candidates Application Deadline (Midnight Paris Time) : 29-AVR-2021 UNESCO Core Values: Commitment to the Organization, Integrity, Respect for Diversity, Professionalism ***(Only candidates who are entitled to work in France may apply to this position).*** ***(Initial duration of contract: 1 year, with possibility of extension subject to availability of funds and satisfactory performance).*** **OVERVIEW OF THE FUNCTIONS OF THE POST** ----------------------------------------- Under the overall authority of the Assistant Director-General for Natural Sciences, overall guidance of the Chief of Finance & Administration Unit (SC/AO) and the direct supervision of the Associate HR Officer, the incumbent shall provide administrative and HR services to support the implementation of activities related to the Division projects in the Science Sector extrabudgetary projects including logistic assistance in recruitment and contracts processing and ensuring application and compliance with the rules, regulations, policies and practices, in close collaboration with AO/HR team colleagues. In particular, the incumbent will: - Provide clerical and administrative support to the Sector's Human Resources team. - Extract data from automated systems or other sources and prepare documents for processing. - Prepare paperwork relating to HR policies and procedures. - Follow up on HR actions for the Sector and the UNESCO Science Institutes. - Maintain personnel database and initiate personnel action requests in the UNESCO system for approval. - Respond to enquiries and follow up on routine matters, liaise with various internal services. - Coordinate recruitment processes with the Hiring Managers within the Sector (interview schedules, relevant supporting documents and reference checks). - Update information tables and statistics. **COMPETENCIES (Core / Managerial)** ------------------------------------ Accountability (C) Communication (C) Knowledge sharing and continuous improvement (C) Planning and organizing (C) Results focus (C) Teamwork (C) Professionalism (C) **-** ----- For detailed information, please consult the [UNESCO Competency Framework](https://en.unesco.org/sites/default/files/competency_framework_e.pdf). **REQUIRED QUALIFICATIONS** --------------------------- ***Education*** - Completed secondary or vocational education. ***Work Experience*** - Minimum 3 years of relevant professional experience in an administrative support role. - Knowledge of HR and administrative practices. ***Skills and Competencies*** - Good interpersonal and communication skills. - Strong service orientation and ablility to deal efficiently with partners at different levels. - Ability to analyze and interpret administrative rules. - Good organizational and coordination skills, ability to take initiative, establish priorities and monitor own work plans. - Ability to work as part of a team and provide efficient, quality and timely support. - Ability to manage multiple tasks and adjust priorities. - Sense of integrity and confidentiality. - Good knowledge of MS office (Word, Excel, Outlook,) and database packages. ***Languages*** - Excellent knowledge (spoken and written) of French. **DESIRABLE QUALIFICATIONS** ---------------------------- ***Education*** - Specialized training or courses in administration. ***Work Experience*** - Relevant work experience within an international environment. ***Skills and Competencies*** - Knowledge of ERP systems (Entreprise Resource Planning). ***Languages*** - Good knowledge of English. - Knowledge of another official UNESCO language (Arabic, Chinese, Russian or Spanish). **BENEFITS AND ENTITLEMENTS** ----------------------------- UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc. For more information in benefits and entitlements, please consult [ICSC website.](https://icsc.un.org/) **SELECTION AND RECRUITMENT PROCESS** ------------------------------------- Please note that all candidates must complete an on-line application and provide complete and accurate information.
