The Danish Refugee Council (DRC) is looking for an experienced leader to be our Head of Unit (HoU) for Grants Management in the Operations Department, HQ. You will manage and develop the Grants Management Unit comprising Grants Management Specialists, the Global Grants Advisor and a student assistant. You will be DRC’s Business Process Owner for grants management in DRC and continue the development of Grants Management as a core business function within DRC globally.

Who are we?

The mandate of the Grants Management Unit in HQ is to support colleagues across DRC in efficient and effective grants management, ultimately aiming at timely and high-quality assistance to the field operations, thereby to the People of Concern. While daily grants management is centred at the Country Office, the HQ Grants Management Unit provides a layer of support and oversight ensuring donor and internal policy compliance on reporting and proposals, timely installment management ensuring overall cashflow and liquidity, and document and data management through DRC Dynamics (DYN, based on MS Dynamics 365) ensuring audit readiness and strategic analysis of the DRC grants portfolio. The Grants Management Unit in HQ comprises 9 GMS covering countries portfolios split between the 4 regional offices. The GMU is led by the Head of Unit and supported by a Global Grants Advisor and a student assistant.

About the job

The Head of Unit leads grants management as a highly specialized expertise area within DRC. This includes leading the development of grants management best practice throughout DRC HQ and field operations and the daily management of the GMU. The Head of Unit will promote and facilitate grants management excellence and compliance across DRC’s regional and country offices. The HoU will further fulfil the function of the Business Process Owner (BPO) of the Customer to Cash Business Process Board encapsulating the entire workflow in DYN from donor fundraising, invoicing funds, managing grants and enabling strategic income management.

Specific responsibilities include:

  • Inspire, manage and develop the expert members of the Grants Management Unit (GMU)
  • Be the Business Process Owner for grants works processes in DRC Dynamics (DRC’s ERP system), including the management of the grants Business Process Expert (BPE).
  • Lead the development of best practice in the DRC Dynamics grants module across the entire organization, including through training, webinars and other outreach to DRC’s network of grants managers in liaison with other departments eg: finance and central accounting to ensure consistent, efficient and reliable grants management and data quality and timely submission of quality donor reporting
  • Maintain clear and up to date communications to grants colleagues locally and globally through regular HQ and global forums, a grants SharePoint site and relevant email communications
  • Lead the development and updating of efficient and user-friendly policies, processes and procedures for grants management
  • Be the owner of DRC’s Operations Handbook policies related to grants management.
  • Provide key data for management on grants instalments and support efforts to maintain healthy balance between spend and liquidity of DRC
  • Ensure and facilitate data quality in the grants module of DYN globally to support internal and external reporting
  • Liaise with, and champion grants to other departments, stakeholders and forums as needed
  • A key member of the Operations Departments management team and is expected to be an active leader across the organization.
  • Serve as the Operations Department’s focal point for own funds set up and management
  • Understand the field realities of the grants management stakeholders at field level and will be available to travel

*Specific qualifications**:*

  • At least 3 years of experience as a manager, preferably of technical specialists.
  • At least 5 years of experience within the international humanitarian sphere preferably having worked at both headquarters and the field.
  • Experience working with grants or financial processes in an ERP system (e.g. SAP, Microsoft Dynamics) is highly desirable.
  • Experience in planning, coordinating and leading processes that include multiple cross disciplinary stakeholders across organizations.
  • Full professional proficiency in English. French and Danish proficiency is an advantage.
  • Systematic and analytical approach with a high degree of attention to details.
  • Good command and interest in financial processes as well as reviewing and analysing financial data.
  • Relevant and qualifying educational background.

We offer

Contract length: Full-time 12-month contract (Maternity cover)

Workplace: The position is placed in DRC HQ in Copenhagen

Start date: 26 September 2022 (preferred)

Salary terms are in accordance with the agreement between DRC and the Lederaftale (management agreement).
