Organizational Setting

FAO Ukraine is a project management Office headed by the Regional Programme Leader (RPL) under the operational responsibility of the Regional Office for Europe and Central Asia. FAO Ukraine is contributing to the development of national policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

Under the overall supervision of FAO Regional Programme Leader for Europe and Central Asia and the REU Programme Officer and the direct supervision of the FAO Ukraine Head of Office, in close coordination with the Food Systems Dialogue liaison officer the Event Planner/Admin Assistant is an essential position to ensure the smooth organization of the Food Systems Summit and a dialogue.

Technical focus

UN Secretary-General António Guterres will convene a Food Systems Summit (FSS) as part of the Decade of Action to achieve the Sustainable Development Goals (SDGs) by 2030. The Summit will launch bold new actions to deliver progress on all 17 SDGs, each of which relies to some degree on healthier, more sustainable and equitable food systems. The Summit will awaken the world to the fact that we all must work together to transform the way the world produces, consumes and thinks about food. The Food Systems Summit Dialogues represent a critical global engagement process leading up to the UN Food Systems Summit in September 2021 in conjunction with the UN General Assembly. All Member States are invited to lead a three-stage Dialogue process until June 2021. The FSS will build on the many existing global events and platforms and the resulting agreements, commitments, and collaborative actions. Preparations for the Summit will seek to discover synergy between the multiple regional and national initiatives and alliances that already exist or are forming to support the transformation of food systems. Tasks and responsibilities

Specifically, the Event Planner/Admin Assistant to support FSS will carry out the following activities:

• Assist in organizing of meetings and appointments, keeps records of events, keep agendas and take notes at meetings for the FSS; organization and facilitation of national and regional consultations, follow up developments at all levels, taking appropriate actions and initiatives, updating FAO Representative and other related experts on progress; • Keep directories of names, addresses and contact numbers of Government officials, international and national NGOs and other relevant organizations for FSS 2021; • Assist with the arrangement of organization for one multi-stakeholders dialogue, preparation of list of participants, preparation of budget and statement of expenses and ensure adequate record keeping of these activities, design and sending the invitations for the participants FFS and other related actions needs for the organization of sessions; • Prepare Purchase Requisitions and Payment Requests for the related activities needed for the organization of one dialogue; • Maintain list of professional Translators/Interpreters and follows up on translation of FSS related documents, reports and events upon request for the supervisor; • Review and consolidate the notes from all the different discussion group sessions, from the different multi-stakeholder dialogue session, into a single well-organized document. This document should clearly identify the different perspectives of stakeholders, providing key ideas, findings, and take-aways, it will serve as inputs for a draft report on the dialogue process; • Perform other duties, as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• University degree in Business Administration, Economics, Finance, Social sciences, etc; • Three years of relevant experience in administrative support work; • Language skills: Working knowledge (Level C) of English; fluency in Russian and Ukrainian; • IT Skills: Good knowledge of MS Office applications, Internet and office technology equipment. Ability to use accounting software and other information systems and databases to insert data, make enquiries, retrieve/define ad hoc reports and analyses and edit results in an appropriate format; • National of Ukraine.
