IRC Belgium was established in 2001 to act as a resource on EU external aid policies for IRC offices worldwide, and to ensure that IRC’s advocacy and policy positions are heard with EU policy and decision makers.

JOB PURPOSE:

The Finance Assistant is a part-time (12 hours/week) support position that assists the Finance Manager in accurately controlling and managing the implementation of the accounting system (Integra / Microsoft Dynamics 365) in Belgium and Switzerland.

Working relationships:

Report to Finance Manager, Belgium and Switzerland.

Support to both offices of around 30 staff members.

Liaise with IRC staff members of all countries.

Liaise with external stakeholders, mostly suppliers in Europe.

TASKS AND RESPONSIBILITIES

· Assist Finance Manager on Belgium and Switzerland finances. Act as second finance staff in INTEGRA for both countries.

· Prepare/review/approve journal entries/invoice journals in Integra. Ensure proper coding.

· Void/reclass transactions/invoice journals

· Support in vendor payments

· Assist in the month end closing process (payroll journals, credit card reconciliation, invoices, expense reports)

· Maintain and update vendor lists in Integra.

· Support in fixed assets register maintenance.

· Assist in preparing monthly financial reports

· Assist Finance Manager with monthly balance sheet reconciliations

· Assist Finance Manager in facilitating external and internal audits as needed; assist in preparing all documents/samples requested by external auditors

· Effectively communicate financial topics and facilitate discussions with non-finance staff

· Assist in providing finance/accounting-specific training for all-staff, including regular trainings for new staff members.

· Support in communication with internal and external stakeholders.

· Other duties as assigned

PERSON SPECIFICATION

Essential qualifications, skills and experience

· Strong Microsoft Office Excel required

· Ability to carry out work with a high degree of integrity and maintain confidentiality

· Ability to work under pressure and meet deadlines, and be well organized

· Strong communication skills

· Excellent command of English and French

Desirable qualifications, skills and experience

  • Working knowledge of accounting software such as Microsoft 365 a plus
  • Associates degree in business, finance or accounting strongly preferred
  • Some experience in similar function preferred
