Result of Service This position is a fundamental part of the Protection Division, supporting the executing and guidance of all administrative procedures to ensure Projects and Programme deliverables are implemented as planned. The incumbent will report to the Project Coordinator who oversees in addition to Programme budget all projects in the Division.

Duties and Responsibilities Budget and financial support, including - Establishing internal financial controls to ensure the budget and financial online systems are maintained in an accurate and timely manner. - Monitoring and tracking budget for the assigned unit including the preparation of Budget Allotment Adjustments. - Prepare budget forecast and monitor budget expenditures. - Compile the division’s annual requests for expenditures.

Human resources support, including - Preparing staffing table proposals and RPAs; maintaining staffing table records; Monitor contract deadlines. - Coordinating with HRD the recruitment of area staff and consultants by drafting TORs, initiating requests for vacancy announcements, organizing and conducting interviews, drafting note for record and drafting and administering the contracts; - Administering, verifying, and finalizing the preparation of Service Contracts and Consultancy Contracts.

Procurement and contracting support, including: - Administering procurement and logistical operations including tenders, quotations, purchasing orders, etc.; handling and controlling the preparation of Lists of Requirements (LoRs); - Drafting Terms of Reference for tendering. - Maintaining contacts with local vendors and suppliers in order to meet non-standard purchase requirements. - Develop and monitor a direct supply order table and request the development of LTA, as appropriate. - Preparing annual procurement plan.

Other specific functional support (as applicable for the assigned unit), including: - Assisting in the administration of fellowships/grants, as available. - Performs other duties as may be assigned by the supervisor.

Qualifications/special skills Academic Qualifications: A university degree in business administration, or related field.

  • At least four years’ experience in administrative support, procurement, human resources, finance or other related functions

Contract Conditions

  • Remuneration for this consultancy will be Grade 14, depending on fund availability, qualifications, and relevant experience.

    Languages - Very good command of written and spoken English and Arabic.

  • Intermediate knowledge of Excel is required.
