JOB PURPOSE

WFP has been delivering food assistance to the most remote and insecure regions of the world for nearly 60 years - during which time WFP developed its supply chain capabilities to support its goals of eradicating hunger and malnutrition. This expertise in humanitarian supply chain is widely recognized, both internally and externally, as the backbone of WFP food operations and it has led to the rise of WFP-provided common services.

Under the 2030 Agenda for Sustainable Development (SDG 17:16) and broader UN reforms focused on shared services, such activities provide WFP with flagship opportunities to represent WFP’s commitment to these global efforts.

In light of the growth of WFP’s portfolio of supply chain services to the humanitarian community, including in health-related emergencies, WFP Supply Chain Division is establishing an augmented and structured Logistics Common Services function to fulfil the demands of WFP’s service provision to partners.

As part of this, the Logistics Common Services branch seeks to put in place a strong information gathering and management structure for its activities to complement ongoing divisional and corporate initiatives, including communications outreach. The incumbent will manage the day-to-day information management for the branch, providing support and guidance to IM colleagues to units making up the Logistics Common Services. The incumbent is expected to exercise a high degree of independence and be a self-starter on new initiatives.

KEY ACCOUNTABILITIES (not all-inclusive)

    • Work with relevant information management focal points across the branch to establish a common repository of information, statistics and data for each unit and for the Logistics Common Services branch as a whole; create internal and external information sharing mechanisms and systems, document formats, assessment formats, a central file store, operations archive, and reporting systems.
    • Ensure that accurate, consistent information, in line with corporate standards requirements and templates is made available on different platforms, through focused communications materials, and in standardized and/or ad-hoc reports.
    • Collect, analyse and consolidate inputs for submission to any divisional and corporate reporting, donor reporting or other exercises. This includes qualitative and quantitative data analysis.
    • Prepare briefing materials, including talking points and ad-hoc presentations, for senior management to provide timely updates on Logistics Common Services.
    • Support the communications function of Logistics Common Services, in close collaboration with the Supply Chain Front Office, to ensure proper visibility of the branch’s work on internal and external platforms, including social media materials and longer form articles.
    • Support the development of new IM products and support the improvement of existing ones to enhance communication, information sharing and coordination.
    • Liaise with relevant IM focal points and contribute to relevant networks and working groups to ensure information sharing and IM best practices.
    • Recognize and assess the sensitivity of information obtained; respect the confidential nature of sources of information where relevant.
    • Be willing to deploy to field operations as necessary.

STANDARD MINIMUM REQUIREMENTS

Education

  • Advanced University degree in Political Science, Economics, Statistics, Information Management or Journalism, Business Management, Social Sciences or other relevant field, or First University degree with additional years of related work experience and/or training/courses.

Experience

  • Minimum of three or more years of relevant professional work experience in information management roles in an international context; experience with reporting/tracking systems highly desirable partnership roles. Previous experience in emergencies is important. Knowledge of supply chain is a plus.

Language

  • Fluency in English and working knowledge of a second UN language is desired.

REQUIRED SKILLS AND ABILITIES

  • Key skills: excellent written and verbal communications skills; high attention to detail and proofreading ability; good research and analytical skills; good numeracy skills, ability to meet deadlines and work under pressure as part of a team; good communication skills; ability to work independently while asking questions and seeking support in a fast-paced work environment. Understanding the fundamentals of budgets and funds management is highly desirable.

  • Technical skills: Proficient in MS Office package, particularly in Microsoft Excel and PowerPoint. Demonstrated ability in data acquisition and analysis.
