1. Organizational Context

  1. Organizational Setting

The position is located in the Diplomatic Engagement and Assemblies Affairs Division, Sector of the Director General. The Division is responsible for all engagements with the diplomatic community in Geneva through various avenues such as events and meetings, as well as oversee the administrative, logistical and other aspects of key meetings such as the WIPO General Assemblies.

  1. Purpose Statement

The Catering Support is responsible for efficiently assisting in all catering activities across the Organization including logistical arrangements for protocol related activities and events organized by WIPO stakeholders.

  1. Reporting Lines

The incumbent works under the supervision of and reports directly to the Senior Catering Assistant.

2. Duties and Responsibilities

The incumbent will perform the following principal duties:

a. Assist the Senior Catering Assistant in the planning and organization of all official hospitality hosted by the Director General, including the procurement of external service providers (hotels and restaurants) in Geneva.

b. Assist the Senior Catering Assistant in the catering-related needs during the WIPO Committees and General Assembly (coffee breaks, working lunches, receptions, etc.).

c. Liaise with representatives of WIPO stakeholders (Member States, NGOs, IGOs) to identify and discuss their catering related needs in the organization of their events on WIPO premises.

d. Allocate work to external temporary/interim catering staff, provide information and guidance on internal procedures including those related to the Organization's health, safety and hygiene practices, monitor catering operations and outsourced staff performance, and assist the supervisor in resolving problems.

e. Follow up with external service providers for the hiring of additional staff as instructed and liaise with external suppliers for the appropriate selection of wine and beverages.

f. Coordinate and administer catering services in the absence of the Senior Catering Assistant.

g. Perform other related activities, as and when required.

3. Requirements

Education (Essential)

Completed secondary, technical or vocational school.

Experience (Essential)

At least five years of experience in catering operations with excellent customer service record.

Language (Essential)

Excellent knowledge of written and spoken English or French and a good knowledge of the other language.

Language (Desirable)

Knowledge of other UN official languages.

Job Related Competencies (Essential)

Ability to work under pressure and to deadlines and to effectively coordinate event-related catering activities associated with large-scale official events.

Excellent interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity.

Competent user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the Internet.

Candidates must be customer-oriented, well presented and able to work after-hours when required.

5. Information

Mobility: WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities of the Organization. Accordingly, the selected candidate may be required to move from time to time to new functions.

Annual salary (Net of tax): 75,234 CHF

Additional Information

* Initial fixed-term appointment of one year, renewable subject to satisfactory performance and other applicable conditions. The selected candidate will be subject to an overall term of five years with no possibility of renewal beyond that term.

Dependency allowances

7,939 CHF per year for dependent spouse; 6,398 CHF per year for each dependent child.

Language allowance

Arabic, Chinese, English, French, German, Japanese, Korean, Portuguese, Russian and Spanish: 4,788 CHF per year for two of these languages, and 3,192 CHF per year for one of them. The allowance is not payable for the mother tongue or the main working language of the staff member. The grant of this allowance is subject to examination.

General Service posts are generally subject to local recruitment. Staff in the General Service category is recruited in the host country or within reasonable commuting distance of the Headquarters.
