STANDARD MINIMUM QUALIFICATIONS

Education: A University degree in Political Sciences, Sociology, Business Administration, or Communications. Experience: A minimum of 3 year of relevant professional experience in external relations, partnerships, marketing or related fields.

Knowledge & Skills:

  • Demonstrates integrity by modeling the UN’s values and ethical standards
  • Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability;
  • Ability to work with minimal supervision, and under pressure in a multicultural environment.
  • Client-oriented mindset and ability to liaise adequately with external stakeholders as well as willing to support other units and colleagues as needed.
  • Knowledge of computer tools and layout software. Excellent command of Word, Excel, PowerPoint etc.
  • Excellent oral and written skills in English and Portuguese for official communications and correspondence.
  • Organized and able to contribute to knowledge management

Language: Fluency in English and Portuguese. Fluency in other UN language is an advantage.

ORGANIZATIONAL CONTEXT

The United Nations World Food Programme is a solution provider in the challenge to end hunger and malnutrition and focuses on reaching the most food insecure, and the malnourished all over the world.

WFP’s dual mandate allows it to use a development lens in its humanitarian responses, and to align early recovery and development interventions accordingly. In Mozambique, WFP has a five-year Country Strategic Plan (2017-2021), which aims to strengthen resilience, emergency preparedness and response while continuing to address the underlying causes of hunger in the country.

WFP has collaborative relationships with host governments, donor governments, NGOs, the private sector, the United Nations system, international finance institutions, international and regional organizations, academia and think tanks. WFP adopts a partnering approach with the children, women and men its serves, the governments that sit on its governing bodies and the media.

In order to implement the planned activities, WFP seeks the support of an enthusiastic individual to support the External Relations unit of WFP Mozambique.

JOB PURPOSE

WFP Mozambique External Relations unit aims at enhancing public awareness and understanding of WFP’s work in Mozambique. It aims to improve brand recognition through a variety of communication avenues to appeal to as wide an audience as possible. The Unit’s work extends to include WFP’s programme work and partnerships with donors. In this regard, the Unit’s work spreads over a spectrum of tasks which include creating creative content, media engagement, developing stories, writing and editing external documents. In order to implement the planned activities, WFP seeks the support of an enthusiastic individual to support the External Relations unit of WFP Mozambique.

KEY ACCOUNTABILITIES (not all-inclusive)

  2. Administration

  • Provide secretariat support including scheduling and organizing meetings, preparing briefs and notes for the record, conducting research in the area of work and monitoring follow-up actions.
  • Oversee the maintenance of records and databases to ensure information is organised and readily available for staff and compliant with all relevant regulations and policies.
  • Assist in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
  • Support the until with devising travel plans and liaison with Administration units
  • Be the focal point for the procurement of visibility items including creating Purchase Requests (PR) and liaison with the procurement unit and suppliers as needed
  • Support the production, dissemination and tracking of WFP and donor visibility materials
  • Maintain an updated inventory of all produced visibility items
  • Perform other related duties as required.

OHER KEY ACCOUNTABILITIES

  1. Reporting and Communications:
  • In support of the Communication Officer, maintain a contact list of journalists and media to help the unit maintain regular and appropriate communications when appropriate.
  • In collaboration with different technical units, be in charge of elaborating, updating and managing Activity Factsheets which provide an overview of interventions for external audiences.
  • Support the preparation of corporate reports as needed.
  • Update Communication and Visibility Matrix to track donors’ requirements in terms of communication and visibility.
  • Support the preparation of key corporate reports (Country Briefs, Situation Reports)
  1. Salesforce Management
  • Contribute to data-entry into Salesforce to maintain an updated database of public and private partnerships and funding opportunities.
  • As relevant, liaise with HQ and Regional Bureau to address any issues related to salesforce

DELIVERABLES IN THE END OF THE CONTRACT

Expectation is that tasks are completed in a qualitative manner respecting the deadlines set by supervisor.

  1. Selected Corporate Reports produced and submission
  2. Partner Mapping databases populated
  3. WFP Mozambique Private Sector Action Plan updated and streamlined in consultation with different technical units
  4. Salesforce updated on a weekly basis
  5. List of Media in Mozambique updated
  6. Activity Factsheets updated regularly and ready for dissemination
  7. All administrative tasks performed in a timely and adequate manner.
