The United Nations World Food Programme (WFP) has been presented in Myanmar since 1994 and is now focusing on helping the Government reach its national Zero Hunger Challenge by 2025. WFP’s work in the country is guided by three priorities: emergency preparedness and response; nutrition; and provision of social safety nets.

ORGANIZATIONAL CONTEXT

This job is located in Hpa-An Office of WFP Myanmar.

At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Programme Associate and overall supervision of Head of Area Office (Hpa-An), the incumbent will perform the following duties;

• Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources. • Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation. • Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function. • Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work. • Take responsibility for data integrity to facilitate availability of accurate information in corporate systems. • Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff. • Check the provision of a range of services, including facilities and light vehicle management, travel, protocol related, etc., maintaining information, to contribute to the provision of a safe and comfortable working environment. • Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required. • Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues. • Coordinate with other UN/INGOs/CBOs/CSOs in each respective area to enhance capacity of collaboration and sharing of information and brought forward fruitful information to relevant units for further necessary action. • Where necessary, assist in the preparation of report documents to relevant partners, counterparts and come up with concrete and relevant documents and information for more effective program related activities. • Assist the Cooperating Partner in the implementation of the plan of action, review achievement and constraints and provide feedback accordingly; • Review the partners’ cash request and make the process; • Monitor the cash for asset creation projects and cash distribution sites;

STANDARD MINIMUM QUALIFICATIONS

Education

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Knowledge & Skills

Proficient in the use of office equipment and computer software packages, such as Microsoft Word, excel, power point, etc. Knowledge of work routines and methods in order to complete processes under minimal supervision.

Language

Fluency in both oral and written in English and Myanmar.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

Four or more years of progressively responsible work experience in the relative business stream with experience in general administration and finance work. Experience in supporting humanitarian and emergency responses operation is preferable.

Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work
