The World Food Programme Somalia activities include relief assistance, safety-net support including school feeding, nutrition programmes and livelihood support through provision of in-kind and cash-based transfers and capacity strengthening.

Duties and Responsibilities:

Under the direct supervision of the Aviation Officer and overall supervision of the Deputy Head of Aviation, the incumbent will:

• Provide passengers/cargo bookings, flights, actual check-in-data input into the Electronic Flight Management Application (EFMA); • Support Check-in and boarding procedures in accordance with applicable procedures and regulations; • Monitor, security screening of all United Nations Humanitarian Air Service (UNHAS) passengers, cargo and luggage when required and report any observed issues and concerns related to aviation security; • Accept inbound and outbound cargo, monitor cargo collection and dispatch; • Liaise with airport service providers to ensure they provide good and timely services in a safe manner. Supervise loaders and off loaders; • Communicate with the UNHAS staff at other destinations to make sure relevant information is shared; • Communicate with Airport Immigration Authorities on matters related to day to day air operation; • Support inbound and transit flights including directing passengers, acceptance/handling of cargo, luggage and pouch, luggage reconciliation process, documents processing, de-briefing with the crew; • Prepare variety of reports such as daily flight reports, monthly reports, fuel reports, received cargo and pouches; • Report any operational non-compliance matters as well as observed hazards to aviation safety; • Promote and adhere to safe approaches to flight safety in line with respective guidelines; • Undertake standard data entry tasks and ensure information is organized and readily available for easy retrieval; • Collect, sort and contribute/transmit correspondence, reports and other material as required; • Set up, classify and maintain unit files for easy retrieval; • Perform other related duties as required.

Minimum Qualifications:

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience: Three or more years of experience in general administrative work. Experience in cargo and passenger aviation service provision is desirable.

Language: Fluency in both oral and written communication in English and Somali is a requirement.

Knowledge & Skills:

• Knowledge of aviation safety around aircrafts. • Ability to use standard office equipment such as photocopiers and scanners. • Knowledge of standard office software packages, e.g. Microsoft word. • Uses tact and courtesy to give and receive information with a variety of individuals. • Good attention to detail in order to identify data discrepancies. • Ability to work to deadlines and follow clear instructions. • Hands on UN/NGO aviation experience is an added advantage.
