Job Description

Scope:

The intake specialist will serve as the central point of contact for all new walk-in clients and most returning clients to the IRC, and provide administrative support to the immigration legal services program. This position involves working directly with clients in a fast-paced environment while maintaining professional standards and best practices with timely enrollment, referrals to appropriate services and client communication. The intake specialist may also conduct outreach to eligible populations and communities.

Reports to: this position reports to the intake coordinator

Terms: this is a full-time, regular position. The position is eligible for full benefits.

Major Responsibilities

Intake coordination:

· Conduct eligibility screenings for new and returning walk-in clients including asylees, parolees, SIVs, secondary migrant refugees, certified and pre-certified victims of trafficking, parolees, asylum seekers and individuals seeking immigration legal services.

· Maintain up-to-date knowledge and eligibility criteria on all programs offered by IRC, including but not limited to Maryland state funded programs, federally funded programs such as the Matching Grant program, Temporary Assistance to Needy Families (TANF), assistance programs for victims of human trafficking, and immigration legal services. Refer eligible clients to appropriate IRC programs using the identified program process.

· Refer ineligible clients to community resources such as local Departments of Social Services, shelters, food banks, crisis centers, and others as applicable.

· Maintain a detailed, accurate and comprehensive database of all walk-in clients.

· Submit reports on walk-in clients including nationalities, age and gender demographics, immigration status, programs of enrollment and referrals to community resources.

Immigration legal services program support:

· Answer phone calls and manage mail for the immigration legal services program.

· Schedule client appointments and send reminder text messages and/or phone calls.

· Collect payment from clients following each appointment and issue receipts.

· Track program revenue and prepare weekly and monthly reports for review by the immigration services coordinator and finance manager.

Other responsibilities:

· Comply with agency policies, protocol and case management best practices.

· Participate in meetings, trainings and workshops as requested and coordinated by the IRC.

· Assist in orientation of new clients and case noting in ETO. Enter new clients in MORA database, weekly payment, and monthly spreadsheet. Create physical and digital case files.

· Other duties as assigned.

Job Requirements:

Education: Bachelor’s degree in a field in the humanities, social sciences, or social work strongly preferred.

Work Experience:

- Minimum of 1 year of relevant professional experience strongly preferred. - Experience working with refugee and/or immigrant populations preferred. Experience in case management or legal services will be an advantage.

Demonstrated Skills & Competencies:

· Full professional proficiency in spoken and written English and Spanish is a requirement.

· Knowledge of and interest to continue learning about public assistance, legal services and other community resources.

· Experience working in a multicultural environment and with individuals who are Limited English Proficient (LEP). Demonstrated success working and communicating effectively in a multi-cultural environment.

· Self-starter with excellent problem solving skills combined with the proven ability to multi-task, prioritize duties and manage time effectively in a fast-paced environment. Exceptional attention to detail required.

· Interest and ability to contribute both independently and as a key team member.

· Proficient in Microsoft Office (i.e. Word, Excel, Outlook) and web-based applications (i.e. Google forms, Box, ETO, databases).
