OBJECTIVES OF THE PROGRAMME

To provide leadership and action and to support Member States in attaining a greater level of awareness for the promotion of health and the prevention of premature death and disability by addressing key health-related social, environmental and behavioural risk factors and determinants. This programme will respond to the needs of the population in the aspects of lifestyle approach, health environment, public education, family care and related health systems.

DESCRIPTION OF DUTIES

Under the general supervision of the Coordinator, Maternal Child Health and Quality Safety, the incumbent performs the following functions:

1. Screens incoming correspondences, documents and reports and routes to the supervisor with full background material; ensures their distribution and follows up deadlines;

2. Drafts/prepares non-technical and general correspondences, reports, etc. using word-processing equipment, ensure grammatical accuracy, conformity with procedural accuracy and format; drafts/prepares general correspondences not involving policy or technical knowledge on own initiative or from brief instructions;

3. Initiates administrative formalities related to budget monitoring and implementation, processing of various contracts and documents, procurement of supplies and equipment request, etc. in the Global Management Systems (GSM);

4. Assists in the preparation of fundraising proposals, the drafting of donor agreements and the preparation of financial narrative reports;

5. Provides administrative support in the organization and arrangements of formal/informal meetings, consultations, workshops and training courses, including preparation of related files, recruitment of temporary advisers, invitation to country participants, and logistics. Coordinates with other administrative units in the organization of the meetings such as Meetings and Courses (MAC), Budget and Finance Unit (BFU), Travel and Transport (TAT) and the Global Service Centre (GSC);

6. Opens, organizes and maintains general and project files with an appropriate system for follow up on responses and deadlines;

7. Sets up schedules or appointments for supervisors and visitors; prepares briefing folders for the supervisor's duty travel, field staff and other temporary staff;

8. Assists in searching, compiling, and maintaining information relevant to the programme and team including the monitoring of projects' implementation; performs liaison duties with the other members of the team as well as with other units;

9. Makes travel arrangements for the supervisors; prepares briefing materials for his/her use on official trips or special meetings; and in his/her absence, briefs or take notes on matters for which the programme is responsible;

10. Occassionally replaces secretarial staff within the team and division during their absence, as coordinated by the Senior Administrative Assistant to the Coordinator or the Principal Administrative Assistant to the Division Director;

11. Performs related duties as required.

REQUIRED QUALIFICATIONS

Education

Essential: Equivalent to graduation from secondary school with thorough training in secretarial/administrative duties. Desirable: Relevant higher level diploma or degree.

Experience

Essential: At least five years' experience in secretarial/administrative posts. Desirable: Work experience in WHO or in another international organization. Experience working in a multi-cultural environment.

  • Ability to prepare correspondences, summary of meetings, documentation and notes for the record.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at PHP 603,027 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
