Job Summary
The APA Supervisor provides a combination of program oversight, staff supervision, partnership development, and grant maintenance. This position is charged with the task of maintaining and enhancing the standard of direct services related to APA case management. This position maintains quality control for both service provision and contractual compliance and IRC policies. This position reports to the Director for Tucson and supervises a team of 3-4 direct service staff under the APA program and is a member of the office senior leadership team.
Major Responsibilities
· Ensure the APA case management team provides quality case management services through:
o regular and timely case file reviews.
o weekly case debriefing discussions; and
o on-site supervision of services both in the office and in the field.
· Monitor budgets and contract compliance of the Afghan Placement Assistance (APA) program.
· Develop and cultivate community relationships for additional services and opportunities for clients.
· Provide quantitative and narrative reports that are written to standard; ensure timely program report submission; ensure implementation of data collection and evaluation tools.
· Supervise, coach and mentor APA case management staff, and assigned Casework Assistants.
· Ensure that all program services are implemented according to policies and procedures of the program.
· Meet with clients, as appropriate to overcome barriers to self-sufficiency and other compliance issues pertaining to client obligations.
· Provide oversight of compliance issues of various donor requirements through on-going review of direct service provision.
· Ensure usage of ETO/IRIS and other data tracking systems by staff; utilize management tools within these programs to provide staff coaching and assist with compliance; comply with all IRC standard operating procedures, as it pertains to case file continuous quality improvement standards.
· Analyze areas of program development; strengthen, recommend program enhancements and changes to the Director for Tucson.
· Research and execute referral systems for participants to access outside services.
· Work with Volunteer Coordinator to establish volunteer opportunities related to APA case management.
· Assist in the training and support of new hires.
Key Working Relationships
Position Reports to: Director for Tucson Position directly supervises: 3-4 Case Management Staff, and Volunteers and Interns.
Indirect Reporting: Executive Director Other Internal and/or external contacts:
Internal: IRC staff, AmeriCorps, interns and volunteers
External: Partner stakeholders, landlords, medical providers, vendors
Job Requirements
· Undergraduate degree in human services or related field.
· Minimum of 2 years previous human service management or program coordination with an emphasis on contract and grant compliance; excellent analytical skills.
· Minimum of 2 years supervisory experience with demonstrated ability to coach and develop staff.
· Strong written and oral communication skills, with the ability to effectively communicate and work as a team member with collaborative partners, the community, and clients in a cross cultural, multidisciplinary environment.
· Strong organizational skills with the ability to multitask and prioritize daily work, detail oriented.
· Strong problem-solving skills with ability to work independently.
· Proficiency in Microsoft Office Products, database management, email, and internet.
· Must be flexible and work well under pressure in a fast-paced team environment.
· Excellent cross-cultural communication skills.
· Proficient in written and spoken English, bilingual in refugee language preferred.
· Must have a valid driver’s license, active insurance policy and access to reliable transportation.
· Must have or be eligible to receive a class one fingerprint clearance card.
Working Environment:
· A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
· May require weekend and/or evening work.
