Org. Setting and Reporting This position is located within the Strategic Support Team (SST) in the Office of the Under-Secretary-General (OUSG), Department of Operational Support (DOS). The incumbent reports directly to the Special Assistant to the Under-Secretary-General (USG), DOS.

Responsibilities Within delegated authority, the Administrative Officer will be responsible for the following duties:

•Provides regular liaison with the operational and administrative staff of the various services, departments and agencies involved in the provision of support from DOS, providing policy and administrative guidance which is consistent with the objectives of the USG and DOS generally. Takes the lead in administrative matters related to the OUSG/SST.

•Monitors the range of strategy and operational support issues in field operations, maintaining briefing files on current field missions and preparing regular updates to the USG, bringing potential areas of concern to his attention and suggesting possible correct of actions or improvements.

•Supports the preparation of reports on the integrated activities of DOS, including the coordination and drafting of imports to reports of the Secretary-General to the Security Council, the Special Committees, budgetary committee etc.

•Coordinates summaries, position papers, briefing notes and talking points for meetings with various delegations, conferences in working groups, highlighting key support issues and relevant items to be raised.

•Assists with the USG’s daily schedule, redirecting appointment request as necessary, preparing relevant materials and accompanying the USG.

•Undertakes ad hoc assignments as required.

•Planning & Organizing: Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

Education Advanced university degree (Master’s degree or equivalent degree) in business or public administration, finance, accounting, social science, law or related area. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Work Experience A minimum of five years of progressively responsible experience in administration, finance, accounting, human resources management or related field is required.

Experience of providing support to a senior manager is desirable.

Experience in drafting reports, speeches and materials for managers is desirable.

Experience with recruitment and/or budgetary processes is desirable.

At least one year of field experience within the United Nations Common System or other comparable international organizations is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of French is desirable. Knowledge of another official United Nations language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.
