This is a UNV International Specialist contract. This kind of contract is known as International UN Volunteer. It is normally internationally recruited only. More about UNV International Specialist contracts.

Eligibility criteria

Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.

Description of task

Under the overall direction of the MINUSCA Chief Medical Officer, the UNV Administrative Assistant will perform the following tasks:

  • Draft administrative circulars, inter-office memorandum and other correspondences for the UNOE Level I Clinic and Office of the CMO;
  • Provide administrative guidance and assistance to clients with regard to procedures and regulations;
  • Maintain accurate filing system in both hard and soft copies of administrative instructions, memoranda, BOI documentation, and other relevant documents;
  • Keep track of personnel attendance sheets, leave request/reports, performance documents for National, International staff, UNV and Contractors;
  • Liaise with MINUSCA sections on issues including, but not limited to Supply, Engineering, and CITS to request and ensure availability of equipment, and supplies and consumables for the Office of the Chief Medical Officer and MINUSCA Medical Cell;
  • Maintain Medical data, including COVID-19 related data and provide regular reports as needed;
  • Manage the Office of the Chief Medical Officer in all non-clinical administrative matters;
  • Provide administrative support to the UNOE Level I Clinic and Medical Cell.
  • Maintain up-to-date work files (both paper and electronic);
  • Will prepare and dispatch minutes of Section meetings;
  • Coordinate non-clinical COVID-19 related activities in support of patients;
  • Assist in any other related official administrative duties as may be assigned or deemed appropriate by the CMO and/or her designate;

  • Will perform other duties as may be assigned by CMO directly or through her designate.

Qualifications/Requirements

Required degree level:

Technical/Vocational diploma

Education - Additional Comments:

High school or equivalent diploma is required. Technical or vocational certificate in administrative services, finance, human resources, business administration or personnel management is a requirement.

Required experience:

60 Months

Experience remark:

Years of work experience: At least 5 to 8 years of progressively responsible experience within the United Nations system or the private sector in the field of administrative services, finance, accounting, human resources, audit, or in other related fields. Hands-on experience, particularly in support of peacekeeping or a related field mission, is desirable. The minimum years of relevant experience is reduced to 3 to 5 years for candidates who possess a first level university degree.

Also required:

- Ability to write in a clear and concise manner and to communicate orally effectively;

- Proficiency in MS Office applications (Word, Excel, Access and PowerPoint);

- Knowledge of electronic medical records is desirable;

- Demonstrated ability to work effectively in a team of international and national personnel.
